The School of Medicine has an outstanding opportunity for an assistant director of student affairs.
The assistant director of student affairs plays a critical role in fostering an inclusive and comprehensive student experience at the School of Medicine. The position is responsible for leading the daily operations of the student affairs office, coordinating small and large student events, and cultivating student engagement in other related ways. The assistant director is a strategic and student-centered thinker who is skilled at developing effective professional relationships and executing strategies to enhance student support and programs at the School of Medicine. This position collaborates with School of Medicine and regional WWAMI partners to support students in their transition to and throughout their medical school training. This role requires strong project management skills, a keen attention to safety and risk management considerations, as well as the ability to problem solve, take initiative, set priorities, and handle multiple projects at once.
The assistant director has frequent contact with medical students and liaises with the School’s academic and administrative leadership. This position must be service-oriented and customer-focused, and able to address issues in a prompt and professional manner. The assistant director must be able to multitask, prioritize responsibilities and competing tasks from students and administration, and work independently under pressure of frequent deadlines and changing priorities. It requires a high degree of independent decision-making and problem-solving skills, data collection and analysis skills, and the ability to project future student program needs and to work effectively with faculty, students, and staff.
Student Affairs Advising:
•Lead the day to day operations of the student affairs unit. Provide leadership, supervision, coordination, and direction for core student affairs staff. Work with unit staff to create efficient, equitable, and responsive processes and student services.
•Maintain knowledge of and interpret student program policies and procedures in order to advise students, faculty, and staff. Counsel medical students on student affairs resources, exercise discretion and maintain confidentiality of program, medical, financial, student, and other sensitive information.
•Provide support to newly accepted medical students and serve as the onboarding liaison, providing information and resources. Create and foster opportunities for relationship-building between incoming students.
•Advise and support student interest groups (SIGs), wellness council, honor societies, and the School of Medicine’s student government and national organization representatives (OSR). Collaborate with medical student leadership organizations to create student wellness events and other initiatives. Facilitate orientations for new student leaders, and monitor student interest group activities to identify opportunities for improved engagement and greater regional participation. Develop and maintain relationships with partner departments on the larger university campus to identify opportunities for increased student support and engagement.
•Collaborate with student affairs leadership in the organization of quarterly student-body meetings.
•Serve as a resource for students in distress, triage their concerns and direct them to the appropriate support services as necessary.
•Plan, implement, and evaluate student programs and events, both in-person and virtual. Collaborate with faculty to develop information, resources, and sessions that will help students transition to medical school successfully, and with regional partners to create congruent programs across the five-state region.
•Manage student event and ceremony planning, including orientation, white coat ceremonies, honor society inductions, residency match celebrations, and graduation. Manage event logistics, monitor expenditures and reconcile budgets, establish project management timelines, coordinate staffing, and ensure equity and parity between regional events. Evaluate event and program outcomes and make recommendations based on survey outcomes and analytics.
•Oversee the issuance and replacement of student ID badges and access cards.
•Represent both student affairs unit and student perspectives and needs in committees, working groups, special projects, and/or initiatives related to student support.
•Serve as the liaison for campus-wide student-related programs. Direct projects at the discretion of the associate and assistant deans for student affairs.
•Regularly report on student participation and outcomes. Design assessment surveys, compile data, and generate summary reports as needed or requested.
•Track operational expenditures and reconcile program budgets in collaboration with the director of student affairs.
•Monitor shared unit email accounts, and answer and direct phone calls, email inquiries, and walk-ins to the appropriate staff members.
•Demonstrate high levels of customer service when interacting with applicants, students, and faculty. Direct stakeholders to the appropriate information resources while maintaining a welcoming and professional demeanor.
•Participate in trainings and relevant professional development activities to support professional and/or departmental growth. Work to operationalize and/or integrate learning from these trainings into the work unit and work processes.
•Perform other duties as assigned or requested.
This position supervises professional and classified employees.
Bachelor’s degree and at least four years of administrative experience in student affairs, residence life, student engagement within an institution of higher education, or other related field
