About the Opportunity

Do you want to join a growing, collaborative, global team? The Graduate School of Engineering (GSE) is seeking an Academic Advisor and Program Manager to join its expanding Student Services team on our west coast satellite campuses. The position combines administrative and academic support for students, with collaborative support for departments and program directors on academic processes and University initiatives. Our student population is diverse and increasing rapidly.

The Academic Advisor and Program Manager provides support for graduate students in the areas of orientation, course registration, academic monitoring, documentation of curriculum exceptions, and graduation clearance in their assigned Certificate and Master of Science programs. In this position, you will serve as a SEVIS contact for the high percentage of international graduate students in the program(s) you support. While not responsible for visa compliance, the SEVIS contacts in the College partner with the Office of Global Studies to advise students on compliance requirements.

The Academic Advisor and Program Manager provides academic and administrative advice to current graduate students on all aspects of the GSE and the University, and also supports the customer service function of the GSE with regard to inquiries (emails, phone calls, or drop-in- visits) from matriculated and prospective students. In this position, you will perform tasks/projects as assigned to support the Student Services function of the Graduate School and will collaborate with department program directors on academic University processes. You will also coordinate with the Boston main campus and west coast campuses regarding student co-curricular events.

The Academic Advisor and Program Manager is expected to collaborate with others involved with COE Graduate Education including cooperative education coordinators, graduate program directors, faculty, and admissions personnel to meet student needs and to identify opportunities for improvement. In this position, you will support the Co-op program with career-related events, speaker series and communications with employers and alumni. You are expected to identify, recommend, and implement process improvements in all aspects of the position.

Responsibilities:

50 % Academic Advising

Academic Monitoring: Monitor the performance of graduate students with low GPA every term. Administer the Academic Probation Policy with students and facilitate the process with program leadership. Monitor the progress of provisional, transitional and special students every term. Recommend to the Director the further registration of those who have not met the requirements set forth in their admission letters.

Graduate Clearance: Review the academic records of graduate students to determine eligibility for graduation. Keep students informed of their deficiencies to complete graduation requirements. Clear students using the DARS system. Ensure Certificates are awarded on the correct conferral date. Verify the accuracy of all change-of-grade cards for graduate students and process grade changes with the Registrar's office.

Student Services & Course Registration: Provide academic guidance and administrative advice to current graduate students on all aspects of the GSE, the COE, and the University. Orient new students to student services policies and procedures; keep students informed of changes as they progress. Assist students with all aspects of course registration, including course overrides, cross-program and cross-college course registration, and late registrations. Explain course registration requirements to students as needed.

International Student Support: Serve as academic SEVIS contact for the Office of Global Services. Review and process submitted OGS forms for accuracy and provide general advice to students and faculty regarding visa compliance.

40% Co-op and Program Support

Program Support : Partner with assigned academic unit leadership to improve student services for individual students and in terms of processes. Collaborate with program leadership on the annual curriculum update. Provide student data to program leadership as requested and when appropriate. Provide feedback to program leadership regarding student issues, including course registration matters. Work with admissions, online programs, and graduate coop team to support student needs. Contribute to the maintenance of program websites and databases.

Orientation and Graduation: Serve as lead for regional campus COE student orientation, COE Graduation; present as Student Services at regional campus COE student orientation; coordinate with the Boston main campus on staff participation in orientation and graduation.

Supervise COE Seattle Ambassadors: supervise, assist and recruit student ambassadors for COE Seattle; develop workshops and events with COE Seattle ambassadors that benefit COE students

10% Event Support

Alumni and Community Engagement: Identify employers with coop opportunities and communicate with alumni and community with possibility of developing coop opportunities and enhance employer relationships.

Event Management: Provide administrative support to coop related events including speaker series and employer recruitment programs. Communicate with partners to develop marketing materials and ensure alignment for programming.

Monitor & Maintain Relationships: Implement an accurate system to maintain ongoing relationships with alumni and partners.

Qualifications:
  • Master's degree required. At least one to two years related administrative experience. - Experience in academic setting highly desired.
  • Experience working with international student populations highly desired.
  • Demonstrated advising abilities.
  • Experience providing administrative support to event planning and execution.
  • Willingness to travel among west coast campuses and occasional travel to Boston.
  • Expertise in policies and processes related to graduate student academic affairs, including registration, progression, academic standing, and graduation clearance.
  • Ability to establish, refine, and be accountable for meeting goals in a dynamic work environment.
  • Strong analytical, interpersonal, and organizational skills; proactive, organized, and attentive to detail.
  • Ability to work independently and collaboratively.
  • Excellent oral and written communication skills and team-building skills.
  • Ability to communicate and interact effectively with individuals of diverse cultural backgrounds.
  • Ability to set goals, multitask and manage time effectively.
  • Ability to handle confidential and sensitive information.
  • Ability to manage a high volume of students efficiently and effectively.
  • Computer literacy requirements include strong working knowledge of Microsoft Windows environment including MS Word, Excel (intermediate level), and a good understanding of databases.

The expected hiring range for this position is USD $58,100 to USD $74,075, based upon the position's scope and responsibilities.
