Coordinator for Summer Interns and Individual Guests - Housing Operations - Georgetown University

Job Overview

The Coordinator for Summer Interns and Individual Guests manages summer housing assignments for more than 11,000 individuals transitioning in and out of the residential buildings during the months of May through August. Duties include but are not limited to:
  • Actively provides frequent communication and customer service and programming to 500 summer interns, intern groups and summer school students in residence on a daily basis.
  • Strategically coordinates all summer housing assignments for summer school students, and interns.
  • Oversees all financial transactions for summer interns, summer school housing and intern groups.
  • Works closely with Student Accounts and Automation Analyst to ensure accurate and timely billing.
  • Participates in recruitment, selection, work assignments, training, and evaluations of approximately 40-50 summer student staff members.
  • Provides direct and indirect supervision to both temporary full time and student staff members throughout the summer, as well as student staff throughout the academic year.
  • Collaborates with campus partners - that is, housekeeping and facilities, ensuring the preparation of residential building space for campus projects and summer guests.


Work Interactions

Reporting directly to the Director for Business Development and Summer & Conference Housing, the Coordinator for Summer Interns and Individual Guests - during the summer months of May through August - directly supervises 7 to 12 undergraduate students as Conference Leads and Summer Assistant Leads working 40 hours/week - and indirectly supervises more than 40 to 50 undergraduate students as Summer Assistants working 20 hours/week.

During the academic year, they directly supervise 2 to 4 undergraduate students as Conference Leads.

As well, they regularly interact with other Georgetown University departments, including Student Accounts, Aramark Dining School for Continuing Studies, Public Relations, Office of Transportation Management, Public Safety, and Student Affairs.

Qualifications
  • Bachelor's degree
  • 1 to 2 years of sales or administrative experience - preference for university housing, hotel sales or event planning experience
  • Ability to work with limited supervision, and to prioritize and organize many tasks
  • Computer literacy with specific experience with word processing and spreadsheet software
  • Good planning, analytical, problem solving and organizational skills
  • Customer service orientation and strong communication and interpersonal skills
  • Ability to function as a member of a diverse, collaborative team.
  • Experience with desktop publishing
  • Commitment to the ideals of community and the integration of academic, Jesuit values, and the mission of student affairs
  • Willingness, availability, and accessibility to respond to customers during non-office hours and during specific periods

Familiarity with StarRez housing software

Work Schedule, Accessibility, and Leave

The Coordinator works a flexible schedule during the summer months of May through August -weekends and evenings included.

Work days vary during the season:
  • September through May: Monday through Friday
  • May through August: Sunday through Thursday


The Coordinator must be accessible after hours via University cell phone.

The Coordinator may take leave between mid-September and March, which are the non-peak periods.
