GENERAL DESCRIPTION This position manages all administrative aspects of the College’s residential operations including, but not limited to, housing software, housing process and procedures, and space management. This position works closely with the Associate Dean of Students and Director of Residence Life and Conference Services along with the Residence Life leadership team to cultivate a caring on-campus learning community and ensure the safety and comfort of students, staff, faculty, and guests in the residence halls.
ESSENTIAL FUNCTIONS:
Implement and provide oversight for a comprehensive housing assignment process for new and continuing students. This includes, managing Pitzer’s Residence by Symplicity Software programs, completing timely updates and changes in student status, roster information, website and room and board charges. Responsible for communicating on-campus housing availability and options to students and parents. Have a working knowledge of housing in the surrounding area to assist students in making informed decisions.
Responsible for implementing and supporting Blackboard and Integra 5 (Onity) security systems, including but not limited to: the coding of all cards, managing board plans and pre-board plans. This includes close coordination with the staff from the Facilities and Information Technology offices.
Track occupancy trends and provide relevant information for Admissions, Financial Aid, Facilities, Student Accounts, Treasurer’s Office, International Students, and the Office of Student Affairs regarding enrollment projections and figures as they affect housing planning and assignments.
Work closely with Academic Support Services to provide housing coordination and support for students with disabilities. Including accommodations for Emotional Support Animals (ESAs).
Research and prepare complex reports and documents involving confidential and/or technical information. Prepare and monitor statistical information regarding budgeted revenue accounts, monthly occupancy reports, and board plan participation.
Maintain close communication with faculty, staff, students, outside agencies and other individuals as needed. Respond to inquiries requiring knowledge of department and College policies, procedures, and guidelines as they relate to housing and conference services.
Assist with the development of departmental dashboards and reports to support data-driven decisions.
Perform on-call duty coverage and respond to student crises when appropriate. May need to assist students with accessing the student health center, counseling center, and/or local off-campus sites.
Serve on Student Affairs, Pitzer, and consortia committees and work groups (such as OSA operations team, cross training workgroups, search committees, data committee, technology workgroup, facilties management, Pitzer @CCA, etc).
Collaborate, support, and empower the Residence Life staff, Resident Assistants, and other student leaders to ensure a quality residential experience for students. Ensure their work is productive, impactful and in alignment with college and division priorities.
Provide leadership and support as needed for divisional and/or institutional events (such as Student Resource Fair, Parents Weekend, Admitted Students Day, Check-in, Check-in, etc).
Provide training and onboarding as needed for residential operations such as processes, platforms, etc to students, faculty, staff, etc.
Assist, as needed, with Conference Services operations, including working with on-campus constituents, providing on-call support for conference services, supporting graduate and student summer staff members, and working with clients as needed.
Assist, as needed, as facilities management liaison.
Investigate, evaluate, and recommend feasible new programs and/or procedures as appropriate.
Work collaboratively to ensure a quality residential experience for students.
Perform a wide variety of administrative tasks. Exercise a very high degree of independent judgment, tact, and discretion in the execution of assigned responsibilities.

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES

Proven knowledge in the administration and development of residence life, student affairs and/or other student services.
Provide collaborative leadership and develop positive interactions between different campus offices, groups, and student organizations. Work in partnership with consortium offices and groups
Proficient with database management systems (i.e. Residence by Symplicity, Jenzabar CX, Blackboard, Onity Integra 5, and Cognos).
Proficient with recent versions of the Microsoft Office Suite, including strong Excel skills with the ability to prepare complex reports with tables and graphs.
Ability and willingness to learn additional technology as needed to complete essential functions of the position.

Basic Qualifications: Must have a master’s degree from an accredited institution. At least three years of professional experience in Residence Life or Student Affairs is required in positions of increasing responsibility, ideally at a higher education institution.
Preferred: Familiarity with Symplicity and Transact are preferred. Experience supervising the work of others and administrative experience managing a fast-paced office are preferred.
Working Environment: Work is performed in an office setting with moderate noise levels, controlled temperature conditions, and no direct exposure to hazardous physical substances. Will occasionally work outdoors for events and activities.
Physical Requirements: This is generally a sedentary position. Must be able to:
Sit for prolonged periods of time;
Operate a computer for prolonged periods of time;
Communicate with others by email, in person and over the telephone;
Read printed materials and a computer screen;
Have the mobility to work in a standard office setting and use standard office equipment;
Assist with the set-up and teardown of event tables, signage and other materials.
Requires reaching overhead, grasping, pulling, pushing, stooping, bending, and twisting;
Lift 15 pounds from the ground to waist level unassisted; and
Have the stamina to manage a high-volume workload in a fast-paced work environment.
Supervisory Responsibility: Will supervise undergraduate student employees.
Work Model: This is a full-time position working 40 hours per week, 12 months per year. The regular hours for this position are 8:00 am to 5:00 pm, Monday through Friday. Will be required to work evenings and weekends as needed. Participate in on-call rotation. These hours will vary due to needs of the College or department.
Anticipated Starting Salary: $66,000
Salary will be commensurate with qualifications, experience, and internal equity.
