The Department
The Dean of Students Office at Cal Poly Pomona is a unit under the Division of Student Affairs that holistically supports student success through intentional programs, initiatives, and collaborative partnerships (engagement), fosters an anti-racist and student-ready culture (equity and access) and creates innovative and integrative co-curricular pathways rooted in career readiness and civic engagement (lifelong learning and advocacy). In addition. The office is responsible for ensuring that students and their leaders adhere to the University policies and procedures.
Duties and Responsibilities
Programmatic Direction and Strategic Planning
Creates and oversees a comprehensive strategic vision rooted in student success for a campus that serves a large percentage of first-generation, Pell Eligible, and/or URM students. The unit includes/will include the following areas of oversight: student conduct, academic integrity, conflict mediation and resolution, and restorative initiatives.
Collaborates with other campus areas/departments (University Housing Services, Academic Affairs, Care Center, Dean of Students Office, Fraternity and Sorority Life, Equity and Compliance, etc.) to ensure a seamless, well-rounded, culturally relevant, educational, and restorative approach to student discipline and integrity practices.
Provides leadership, guidance, and support to department staff to ensure the department's success of providing services and activities for the student community.
Conducts an annual review of the Code of Conduct and student conduct processes and recommends appropriate revisions and provides statistical reports and summaries for various departments regarding caseloads, types of conduct cases, and outcomes.
Creates and implements a comprehensive assessment plan to measure student learning and success.
Researches current legal issues, academic integrity, trends in higher education and student conduct. Implements best practices. The incumbent will review recent federal, state, and local legislation, including court appeals and Supreme Court decisions, to determine implications for the University and, more particularly, Student Affairs. As appropriate, prepares reports, articles, and memoranda for transmittal of information to appropriate parties, including the student newspaper.
Consults with the General Counsel- Office of the Chancellor for advice and opinions pertaining to student related matters which have, or may have, an effect on the University. Ensure compliance with FERPA for all students conduct record contained in the Office of Student Conduct & Integrity by supervising the maintenance, security, and proper disclosure of such record.
Oversight of the department budget, payroll, and financial management of the department.
Facilitates an inclusive, just, and equitable work environment that encourages knowledge of, respect for, and development of skills to engage with those of diverse culture or backgrounds.
Serve on various University and Divisional committees as appropriate.
Administration of Student Discipline Process
Directs the implementation of student discipline policies, procedures, and sanctions in accordance with Title V, California Administrative Code, Section 41301 and related sections and Executive Order 1098 - Student Disciplinary Procedures for the CSU.
Ensures compliance with all University policies, procedures, and requirements for student disciplinary matters.
Advises students on their rights to request hearings, remain on campus and be referred to other campus resources.
Investigates alleged violations of student discipline that are reported to the unit.
Assist with club/organization discipline processes. Advise professional staff members from a variety of offices on campus, in addition to meeting with student club members to address allegations of underage drinking, hazing, or other inappropriate conduct by a Cal Poly Pomona student Organization under Executive Order 1068.
Consults with University Police, district attorneys, alleged perpetrators and victims, legal representatives, faculty, staff, and other relevant individuals regarding disciplinary investigations and sanctions.
Issues appropriate, education-focused, student-centered, and culturally relevant disciplinary sanctions to students found to be in violation of University disciplinary codes.
Monitors ongoing sanction requirements, settlement agreements and other disciplinary actions and provides consistent and timely updates to senior leadership for high-level cases.
Formulates recommendations regarding substantive changes in law and policies impacting students and the campus community.
Trains and educates the University community on the Student Conduct and Academic Integrity process, current legal parameters, fundamental fairness, and due process.
Serves as a member of the Student Response Team to assist with students of concern including, but not limited to, students' mental health issues and behavioral issues.
Assists with the monitoring of protest & free speech activities and respond, as necessary, ensuring that campus policies and issues of 'time, place, and manner' are enforced.
Represent Cal Poly Pomona at annual meeting of CSU Student Conduct Officers and CSU trainings related to investigation practices, updates to Title V and pertinent CSU Executive Orders
Proactive Educational Programming
Works with Academic Affairs to create, implement, and oversee a conflict resolution process and co-curricular badging/certificate program opportunity for students.
Creates and provides conflict resolution training sessions to students and unit staff.
Collaborates and partners with the National Conflict Resolution Center as appropriate.
Creates and implements restorative initiatives utilizing the Restorative Justice Continuum Model
Provides dialogue circles and other educational-based approaches to address restoration and healing.
Co-creates relevant programs, initiatives, and services with units across and within the campus community.
Qualifications
A master's degree in Higher Education Administration, Counseling, Clinical Psychology or Social Work or applicable fields.
Minimum of five years of experience at the post-secondary level in a progressively responsible administrative position in student life/student affairs. Experience should include advising students individually in groups, and in analysis and resolution of complex student services problems.
Minimum two years management, supervisory or leadership experience in an applicable field.
Minimum one year of direct experience adjudicating student conduct case in a higher education setting
A J.D. may take the place of one year of experience.
Superior written and communication skills. Excellent skills in conflict resolution, advising, and mediation. Demonstrated ability to work with a diverse campus population. Communication skills, including interpersonal communication, writing, public speaking and presenting training and facilitation and instruction.
Preferred Experience
A doctorate degree (or juris doctor) and the appropriate internship or clinical training in counseling, guidance or a job field may be substituted for two years of the required professional experience.
Basic knowledge of CSU policies and procedures and law affecting judicial decisions including Title V Sections 41303 and 41303 of the California Code of Regulations, CSU Executive Orders, and the Family Educational Rights and Privacy Act (FERPA), Title IX, due process and confidentiality in higher education setting.
Ability to interact with student, faculty, administrators, police, staff, and community members in a collegial manner to resolved highly charged matters that arise. Experience advising student government organizations
Competency in Maxient online database system.
