Stanford University has an immediate opening for a Program Administrator in the division of Inclusion, Community, and Integrative learning to assist in day-to-day operations as well as long term projects. Reporting to the Assistant Vice Provost for Community and Inclusion, we are seeking an experienced and highly motivated individual who possesses strong interpersonal and organizational skills and is well versed in diversity and social justice efforts, to play a key role in supporting centers and offices that support an institutional focus on equity, inclusion, belonging for students in a university setting. The unit also facilitates care for student communities on campus, proactively fostering positive, inclusive community development and facilitating problem-solving when complex community issues emerge.

JOB PURPOSE:
The Program Administrator working under general supervision of the Assistant Vice Provost for Community and Inclusion, will create programs, materials, communications, and implement administrative strategies to support the First Gen and/or Low Income Office and the Centers for Equity, Community, and Leadership (known as 'ECL,' which includes the: Asian American Activities Center, Black Community Services Center, El Centro Chicano y Latino, Markaz Resource Center, Native American Cultural Center, Queer Student Resources, Women's Community Center).
In this role, you will:
Provide support, communication, and coordination for operations and projects related to the work of the centers and offices mentioned above. This includes fielding requests for engagement with the centers and offices and offering suggestions and recommendations to maximize efficiency and mutually beneficial collaborations.
Oversee and/or perform duties associated with scheduling, organizing, and operating complex conferences, seminars, and events, including arranging with vendors for services, overseeing the production and distribution of materials, administering logistics, and managing events within budget.
Create communications to provide the institution and stakeholders with important information in regards to the history, organization, and opportunities with the centers and offices. This includes, but is not limited to: website management, outreach events, and more.
Compose and draft documents and correspondence for presentations, reports, course handouts, marketing materials (brochures, websites, social media), and online resources for the campus community to navigate the various spaces and opportunities to engage on issues; perform substantial editing and fact checking. Create, maintain, modify, and/or ensure accuracy of content in various unit documents, displays, reports, brochures, social media, and/or websites.
Create complex reports and spreadsheets with both qualitative and quantitative data on programs and events.
Plan and schedule calendar(s) with limited consultation, resolve calendaring conflicts, and arrange travel in compliance with unit, university, and sponsor policies.
Assist in planning and administration of professional development opportunities for the staff in the relevant offices that may include communications and training, planning/promoting events and/or organizing conferences, student staff training, staff gatherings, and more.
Oversee and/or process a variety of complex financial transactions, produce, monitor, and reconcile budget statements; research, identify, and resolve discrepancies. May assist with capital or special equipment requests and/or vendor selection.
Coordinate complex office moves. Plan and coordinate routine remodeling and renovations.
Provide human resources transaction support, e.g. timecards, I9s, HR forms, etc.
Prepare student hiring and termination spreadsheets, ensure accurate labor distribution and verify payroll expenses.
Ensure students are provided and submit required documents upon hire.
Serve as Time and Leave Administrator: ensure students and staff submit their timecards in a timely and accurate manner; track approvals and adjust paid time, as needed.
Analyze and review material and extract pertinent information for briefing purposes.

To be successful in this role, you will bring:
Education & Experience:
High school diploma and six years of relevant experience, or combination of education and relevant experience.
Knowledge, Skills, and Abilities:
Familiarity with and understanding of issues related to diversity, equity, and inclusion, on a college campus.
Advanced computer skills and demonstrated experience with office software (google docs, Drupal, etc.), and email applications
Ability to prioritize own work and multi-task, and assign work to others.
Excellent organizational skills and attention to detail.
Strong verbal and written communication skills.
Ability to take initiative and ownership of projects.
Ability to routinely and independently exercise sound judgment in making decisions.
Ability to create reports, write copy, design marketing materials, and utilize google docs for organizational purposes.
PHYSICAL REQUIREMENTS*:
Ability to work some evenings and weekends.
Perform desk-based computer tasks including scheduling, document organization using google docs, and website.
Ongoing use of equipment such as the telephone, copiers and printers, and shredders.
May push, move, carry items that weigh approximately 11 - 20 lbs.
WORKING CONDITIONS:
Hybrid work schedule with a minimum of 3 days onsite each week; Able to work evenings and weekends, as necessary. The hybrid opportunity will be revisited every August in conjunction with the larger division on the Vice Provost for Student Affairs.

The expected pay range for this position is $84,000 to $86,000 per annum. Stanford University provides pay ranges representing its good faith estimate of what the university reasonably expects to pay for a position. The pay offered to a selected candidate will be determined based on factors such as (but not limited to) the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location and external market pay for comparable jobs.
