Educational Programs and Services (EPS) is home to departments and programs that are central to the educational mission of the Stanford University School of Medicine. We serve all populations of students and trainees who participate in the School's programs: Stanford MD, MS, MSPA, and PhD students; visiting MD students seeking clinical clerkships; postdoctoral scholars and medical fellows; and medical practitioners seeking further professional enrichment. Our goal is to provide a Stanford School of Medicine experience worthy of our students' and trainees' talents, aspirations, and dedication.

Department Information

The Stanford School of Medicine is at the forefront of medical education, training the next generation healthcare leaders. The Master of Science in PA Studies (MSPA) program educates Physician Assistant (PA) students to become not only competent clinicians, but trailblazers and leaders in the field of medicine.

Job Purpose

The MSPA program is seeking an energetic, detail-oriented Admissions Officer to administer its admissions processes with minimal supervision. The Admissions Officer will manage all aspects of the admissions cycle in collaboration with leadership, including but not limited to portal management, file review, application management, and event coordination. The primary responsibilities for this position will be application and data management as well as the coordination, execution, and evaluation of the applicant interviews, and serving as the primary program representative to prospective and current applicants.

This position will be based on the Stanford campus and will be considered for an option of telecommuting from the Bay Area (hybrid of working 2-3 days on-site), subject to operational need.

Core Duties

  • Read, evaluate, and make first-level recommendations on applications
  • Manage the online application portal (CASPA), to include funneling applications to the internal review system
  • Manage applications through the internal review system
  • Manage all applicant data
  • Serve as the primary point of contact for all admissions-related matters to both internal and external stakeholders, particularly prospective students
  • Coordinate all resources required for interviews, including liaising with faculty, staff, and student volunteers, as well as University stakeholders such as MedScheduler and catering, and external stakeholders as necessary
  • Assist in management of and compliance with the interview-related budget

Education & Experience (Required)

Bachelor's degree and 2 years of relevant experience, or combination of education and relevant experience.

  • Ability to learn and understand compliance with legal, financial, and university policies and external regulations.
  • Strong project management and organizational skills
  • Experience developing training materials and executing programs involving new processes and technology among diverse teams
  • Knowledge of project planning techniques; demonstrated ability to analyze, develop and roll-out new projects
  • Experience in selective admissions, student affairs, or a closely related field, in related University departments
  • Ability to work with online applications and if needed, design, deploy and maintain content in a web-based application
  • Familiarity with managing databases, conducting analyses, designing reports, and if needed, implementing the reports in web-based applications
  • Basic programming skills, or willingness to learn a programming language (e.g. Python or R)
  • Prior experience with, or willingness to learn, basic database management tools

Physical Requirements

  • Frequently perform desk based computer tasks, seated work and use light/ fine grasping.
  • Occasionally lift, carry, push pull objects that weigh up to 10 pounds.
  • Rarely stand, walk, use a telephone and write by hand.

Working Conditions

May work extended or non-standard hours based on project or business needs. Occasional local and overnight travel may be required.

The expected pay range for this position is $77,000 to $91,000 per annum.

The pay offered to a selected candidate will be determined based on factors such as (but not limited to) the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location and external market pay for comparable jobs.
