Job Description:
This position oversees the conceptualization, design, quality and management of all Institutional Advancement events, special events from the President's Office and other departments, public programs, as well as facility rentals and filming on both campuses. The objective of all the events, programs and rentals is to generate revenue for the University, increase institutional visibility, and build strategic partnerships that create opportunities for faculty, students, and staff.
Position Monthly Range: $ 6,617 - $8,333
Hiring salary can be above the posted pay range if candidate's qualifications are determined to be above the minimum requirements of the position description.
Duties and Responsibilities:
Oversees the planning and execution 10-15 large scale events, fundraisers and public programs. This includes developing the program content for all events, marketing and promotion strategies, logistics, vendor management, volunteer management.
Oversees space reservations, logistical support, quality control, and promotion (when applicable) for University events. Work with department heads in both academic and student affairs to leverage their contacts and events to benefit a broader base and to ensure successful events.
Generates and oversees facility rentals on both campuses in order to meet and or exceed the annual operating revenue goal.
Creates and executes long range and annual plans to increase revenue from rentals, including appropriate policies, marketing and promotion, identifying key strategic partners, and establishing a competitive fee structure with the goal of generating $1 million in annual revenue.
Develops, enforces, reviews and revises policies as needed, to ensure appropriate facilities usage both internally and externally.
Standardize operations systems and procedures for efficient event reservations and event production for University departments and external events and filming clients.
Ensures effective master calendars for both University and external constituents.
Collaborates with support teams throughout the University (security, facilities, transportation, media services, food services) to discuss priorities and develop a strategic plan around internal and external events and filming that ensures quality control.
Develops and manages the University and External Event website, promotional literature and usage forms to ensure we remain competitive and offer remarkable service to the internal and external communities.
Oversees the work of Unreel Locations and evaluate prospective clients, contracts, and insurance while managing the use of both campuses for external events and filming by non-University individuals and organizations.
Responsible for financial oversight of departmental budgets; oversight of event revenue to ensure goals are being met and strategic planning for attaining targets.
Manages event business operations including project contracts and agreements. Oversee the maintenance of financial records and inventories, including processing bills, reconciling budget accounts and reports, and purchasing supplies.
Proactively audit event related vendors to ensure the best rates and effective contracts (especially rentals).
Provides exemplary service to the University community for internal events and programs as well as to non-University individuals and organizations.
Other Duties and Responsibilities:
Some night and weekend work needed for events.

Requirements:
Knowledge:
Sufficient working knowledge of fundraising and event coordination principles, strategies, practices, procedures and trends
Sufficient working knowledge of supervisory principles, as appropriate
Strong working knowledge of Raiser's Edge database
Strong working knowledge of Microsoft Word and Excel software applications
Abilities and Skills:
Ability to organize, prioritize and handle multiple tasks to meet established deadlines
Ability to work effectively with a wide range of constituencies in a diverse community

Education:
Bachelor's degree from an accredited college or university required, Master's degree preferred
Experience:
At least 7-10 years of experience planning and coordinating special events and programs
Sufficient demonstrated experience managing teams and budgets
Licenses and Certifications:
CA driver's license
