Job Description
The University of Nevada, Las Vegas invites applications for Sales & Conference Housing Coordinator, Student Union and Event Services [R0134041].
ROLE of the POSITION
This position exists to provide operational oversight, management, marketing and leadership for the Conference Housing Program. It supports Student Union and Event Services (SUES) events, sales and outreach to external clients – particularly those in conference housing; and leadership through recruitment and marketing for the summer intern housing program for SUES.
This position is responsible for arranging on-campus overnight guest accommodations which include summer Group Accommodations in traditional residence hall rooms. Responsibilities include, but are not limited to:
Monitoring daily operations and functions to ensure compliance with department, facility and University policies and procedures.
Recruiting, training, supervising and evaluating student staff working Conference Housing front desk operations; managing inventory; preparing rooms and ensuring positive guest interactions.
Ensuring efficient Conference Housing front desk operations and room preparations during guest overnight stays including the check-in and check-out process.
Assisting with pre- and post-event details, during conference operation meetings to meet client expectations and operational obligations.
Facilitate and organize meetings with UNLV constituent groups to orchestrate smooth transitions to and from the summer conference operations.
Partner with SUES staff for marketing and promotion for conference housing operations, including the outreach to businesses and organizations and creating a comprehensive marketing program in conjunction with other SUES staff.
Working with SUES staff to increase occupancy of summer conference housing operations. Promoting the increase of revenues through high volume stays and the addition of valued services providing 24-hours a day, 7-days a week emergency on-call response including holidays and closure periods.
Optimizing space utilization in meeting and Conference Housing facilities.
Providing tours to potential clients and answer questions regarding bookable spaces and services provided by SUES.
Initiating and negotiating Full Service Contracts for Conference Housing clients and external clients.
Initiating and maintaining contact with group sponsors; negotiating and monitoring conference/event contracts, in particular, high profile and multi-service contracts.
Scheduling and conducting pre-event meetings when necessary; Pre-event and on-site event management including coordination efforts between various UNLV service providers, including running stake-holder meetings and major event forecasting reports.
Provide complete “one stop” event management services at the highest level of customer service including contract initiation.
Provide support and details for conference housing groups including rooming information, logistics, campus meals and corresponding event logistics.
Ensure billing and financial wrap-up following the events completion.
As a part of the Full Service Contract, negotiate food and beverage needs in partnership with on-campus food service provider.
During the summer term (traditionally mid-May through mid-August), this position is responsible for the direct supervision of 15-30 Conference Operations student staff and one (1) Graduate Assistant. During the summer season, this position will serve as the liaison between Housing & Residential Life facilities, contracted housing, contracted custodial services and Student Life Maintenance for the residence halls to ensure safe, clean and well-maintained guest rooms are provided to clients.
During the peak of the coordination process for the Conference Housing Program, (traditionally between mid-February until the end of September), this role serves as a Sales Coordinator specifically for clients who are seeking conference housing at UNLV. During that time frame events that do not require overnight accommodations are not assigned to this position.
Weekend and evening work required as necessary.

MINIMUM QUALIFICATIONS
