In the summer of 2020, Duke Recreation and Physical Education formed the Anti-Racism Commitment Group in response to ongoing racial injustice and police brutality. The group's mission is to build awareness and leadership around anti-racism by generating transformative conversations, tangible changes, and experiences by assessment, intentional actions, and holding our community accountable. Currently, we are in the process of evaluating our department's staff culture, policies, and practices. We plan to utilize our findings to identify areas of growth and positive change for our staff and the communities we serve.

Position Summary

This position will report to the Managing Director of Recreation Facilities. The position is responsible for overseeing the utilization, operation, and maintenance of the Taishoff Aquatics Pavilion and Brodie Aquatics Center. Position will monitor all aspects of pool safety to ensure state health codes and university policies are enforced; overseeing membership program for public users, university staff students, and private clubs/groups; and coordinating the aquatic program activities within the overall mission of Recreation and Physical Education.

This role will include providing the community with exceptional aquatics programs and being a leader on campus in recreation, health, wellness, and fitness education. The successful candidate will promote and cultivate an environment that values inclusiveness and diversity, engage in evidence-based decision-making, and promotes student development and learning. This position will oversee the Aquatics Coordinator and part-time staff.

Essential Responsibilities

  • Day to day management of two aquatics facilities: Taishoff Aquatics Pavilion and Brodie Aquatics Center.
  • Work with the Managing Director of Recreation Facilities to develop and update policies and procedures for pool use by all types of user groups, including but not limited to, outside rental groups, Duke Student groups, Duke faculty and Staff, and Duke Athletics.
  • Direct oversite of Aquatics budget including, day to day management, monthly reports, yearly review and submission of budget practices, and oversite of all departmental purchases.
  • Coordinate with Duke Varsity Swimming and Diving to schedule access to the facility for practices, workouts, swim meets, etc.
  • Manage all aspects of rentals including, but not limited to, formalizing rental agreements/contracts, ensuring all necessary documentation is signed and collected, ensuring on time invoicing and payment collection, and ensuring all safety protocols are followed.
  • Creation, implementation, and management of Aquatics Safety and Risk Management.
  • Coordinate with Duke Recreation and Physical Education departments in scheduling courses for the recreational and sport clubs, group fitness classes, non- credit instructional and certification courses, and competitive and recreational swimming and diving, and special events.
  • Management of aquatics schedules through EMS Reservation system and Fusion Registration System.
  • Work with FMD for timely and accurate completion of maintenance issues.
  • Oversee department payroll to process and maintain the staff payroll records.
  • Assist the Coordinator of Aquatics with scheduling and coordination of Aquatics Staff; including but not limited to; Lifeguard staff, Head Lifeguard Staff, and Swim Instructor Staff.
  • Assist Aquatics Coordinator with delivery of American Red Cross Safety Courses including, but not limited to; CPR/AED/First Aid, Lifeguard, Water Safety Instruction, etc., including certifying, re-certifying, and training, including in-service training, of Aquatics staff.
  • Assist Aquatics Coordinator in certifications, re-certifications, and Lifeguard and Swim Instructor staff trainings as needed, including development, implementation, and support of staff monthly in-service trainings.
  • Assist Aquatics Coordinator in programming including but not limited to Group Learn to Swim programming, Private Learn to Swim Programming, Masters Swim Team, Dive in Durham, and Aquatics Special Events.
  • Work with Aquatics Coordinator in development and implementation of programming to determine effectiveness, inclusivity, and satisfaction of all Aquatics programming.
  • Design, implement, and coordinate Diversity, Equity, and Inclusion trainings for aquatics full and part-times staff.
  • Assist with departmental goals and initiatives surrounding DEI.
  • Serve as a liaison between Recreation and Physical Education, Duke Athletics, Student Affairs, and other off campus groups for Aquatics initiatives and special events.
  • Work with University housekeeping to ensure cleanliness of facilities.
  • Additional relevant duties performed in support of Recreation and Physical Education as assigned by the Managing Director of Recreation Facilities. Risk Management
  • Chair and direct the Duke Recreation and Physical Education Risk Management Committee.
  • Conduct departmental risk assessments, mitigation, and reviews.
  • Develop, maintain, and support departmental safety and risk management policies and procedures, including, but not limited to: EAPs, travel policies, recreation tournament safety procedures, and related trainings.
  • Assist the Managing Director with the Departmental Emergency Communication Plan.
  • Maintain departmental Emergency Contact Forms and CPR/AED/First Aid certifications.
  • Review, evaluate, and maintain department Incident and Injury Reports.
  • Maintain and track safety equipment, including, though not limited to Lifeguard equipment, First Aid Kits, First Aid/CPR/AED training equipment, and AEDs.
  • Collaborate with the Director of Sport Programs and Coordinator of Sport Clubs to conduct and record Swim Testing.
  • Collaborate with Facilities and FMD regarding ADA compliance.

    • Education:
      • Required: 
        • Bachelor’s degree from an accredited institution in Education, Recreation, Physical Education, Sports Management, or related field.
      • Preferred:
        • Master's degree from an accredited institution in Recreation, Sports Management, and professional work experience in a variety of aquatics programs.
    • Knowledge/Experience:
      • Required:
        • At least 5 years of appropriate experience in a variety of aquatics programs.
        • Knowledge and ability to perform daily maintenance procedures of Aquatics Facilities.
        • Experience in being resourceful and creative in aquatics programming while not sacrificing the quality of the programming.
        • The ability and skill set to work with the public and Duke Community in a prompt, professional, and courteous manner.
        • Ability to learn computer software programming including Fusion, When to Work, Trello, and DigiQuatics.
        • The ability to work in a highly dynamic and diverse university setting.
      • Preferred:
        • At least 8 years of appropriate experience in a variety of aquatics programs.
        • Knowledge of current trends in aquatics, recreation, aquatics management, and risk management.
        • Proficient in computer software programming including Fusion, When to Work, Trello, and DigiQuatics.
        • Ability to demonstrate leadership traits including effective communication, management of workflow, and supervisory skills.
        • Demonstrated knowledge and skills to create an environment that is diverse, inclusive, and accepted by all.
        • Ability to communicate respectfully and effectively with the understanding we serve groups with varying behaviors beliefs, orientations, identities, and or cultural backgrounds.

          • Assists with the direct daily operations of Aquatics facilities, staff, and program. Additionally, is responsible for direct oversite of Aquatics programming.
    • Supervision Received:
      • Reports to the Managing Director of Facilities. Day-today functions are accomplished with minimal guidance or supervision in accordance with established policies and directives. Overall guidance is accomplished through supervisor conferences and by setting broad goals and objectives.
    • Supervision Exercised:
      • Supervision of Aquatics part-time staff, student employees, Coordinator of Aquatics, and Aquatics Supervisor.
    • Level of Public Contact:
      • Serves as the public contact for students and other members of the campus community who use recreation facilities and program opportunities. Coordinates programs with other university departments and staff members, as necessary. The position requires exceptional and detailed communication skills.
    • Monetary Responsibility:
      • Assists the Coordinator of Aquatics with monitoring the aquatics budget and appropriate use of financial resources including purchasing and inventory.
    • Responsibility of Confidential Data:
      • Has access to record which are confidential data and must be judicious in the discussion of information contained therein. Adheres to laws relating to the confidentiality of information of students.
    • Marginal Functions of the Job:
      • Preforms other work-related duties as directed. The ability to lift a minimum of 50 pounds. Requires evening and weekend work.
      • Type and extent of instructions or directions normally given to the incumbent of this position by the immediate supervisor
      • Acts independently without the need for daily supervision. Seeks guidance as necessary and keeps supervisor informed of area operations and potential problems. Preforms all other duties as assigned by The Managing Director of Facilities.
