Title: Associate Registrar for Reporting and Data Systems

Position Purpose:

The Associate Registrar for Reporting and Data Systems is an integral part of the Registrar and Academic Systems Office, a dynamic team focused on ensuring accurate and efficient academic record-keeping as well as exceptional service to students and their families. The role requires strong analytical and problem-solving skills; the ability to think strategically; and communication skills that project confidence and establish rapport with campus constituents.  The Associate Registrar for Reporting and Data Systems provides leadership in the management of data and production of quality reporting and analysis, employing strong project management skills and comprehensive expertise in Banner and Bates's student data warehouse to implement and improve systems and procedures that enhance the student, faculty, and staff experience.

 

Job Duties:

 Reporting

  • Develop reports, dashboards, and data visualizations in order to provide users with self-service access to data, information, and analysis.
  • Synthesize subject-matter knowledge with data tools to serve the operational reporting and analytical needs of the office. 
  • Create, test, validate, and maintain operational dashboards and reports using Argos and PowerBI.
  • Support Registrar’s Office staff in writing queries and creating reports and dashboards to support their work.
  • Manage the Satisfactory Academic Progress analysis and reporting process in cooperation with the office of Student Affairs.
  • Prepare and submit enrollment and degree verification reports to the National Student Clearinghouse.
  • Work closely with Systems Development and Integration to identify views, functions, and other objects to streamline report-building.

Data Integrity, Analysis, and Presentation

  • Ensure data integrity in Banner and all academic systems and work with Registrar’s Office colleagues on data quality assurance.
  • Analyze and distribute curricular and student data to support the work of the Registrar’s Office and Dean of Faculty’s Office, including the creation of data visualizations.
  • Participate in the data governance process.
  • Participate in the creation and maintenance of the student data warehouse.
  • Work closely with the offices of the Dean of Faculty; Institutional Research, Analysis, and Planning; and Systems Development and Integration on shared initiatives.
  • Work closely with the office of Systems Development and Integration on the implementation of new technologies and the maintenance of existing applications, including diagnosing and resolving issues.

Registrar’s Office Functional Tasks

  • Work closely with the Registrar to assess projects and tasks within assigned areas, keep abreast of industry trends and best practices, research possible enhancements, and make recommendations for improvement.
  • Document system requirements and business processes.
  • Develop procedures and workflows to facilitate efficiency and support the mission of the office.
  • Interpret policy and formulate business practices independently and in consultation with the Registrar.
  • Serve as a campus resource on FERPA and college academic policy, including conducting training for college staff.
  • Act as the office liaison to other campus business units and may serve on campus committees as the representative of the Registrar’s Office.
  • Work with Registrar’s Office colleagues on cross-functional projects and tasks.

Minimum Qualifications:

Education

  • Bachelor's degree required.

Experience

  • 5-7 years of experience in records administration and/or data management, including experience with reporting; data visualization; relational databases; and communicating data and analyses to a wide variety of audiences.
  • Work experience in higher education, particularly in a Registrar's Office, is highly desirable.
  • Experience working with Argos, PowerBI, Tableau, or other reporting, data visualization, and dashboard tools.
  • Experience with student information systems, particularly Banner.
  • Basic-to-intermediate proficiency in SQL.
  • Intermediate-to-advanced proficiency in Microsoft Excel.

  • Demonstrated problem-solving and research aptitude, with the ability to identify and resolve data- and systems-related issues.
  • Aptitude for synthesizing information from multiple sources to draw conclusions and for presenting that information to a variety of audiences.
  • Ability to determine timelines, prioritize projects and tasks, and complete projects and tasks on time.
  • Excellent verbal and written communication skills that project confidence and establish rapport with campus constituencies.
  • Strong analytical and problem solving skills.
  • Ability to think strategically.
  • High degree of accuracy and excellent attention to detail.
  • Ability to communicate technical solutions to non-technical colleagues and interpret and present data concisely to a wide range of audiences.
