This position provides executive level support to 20+ faculty members and their administrative research, education and clinical activities in the Division of Critical Care, Department of Pediatrics. This position provides administrative and programmatic management for the Division Director, Medical Directors and faculty, serving as liaison with the M Health Fairview Masonic Children’s Hospital, M Health Fairview, University of Minnesota Physicians and affiliated Pediatric Intensive Care Units within the metro area. This position will also provide administrative duties to other Pediatric Divisions within purview of our administrative team. More information will be discussed in the interview.
Administrative Support - 35%
Independent judgement use for a wide variety of inquiries as the first point of contact for faculty, staff, students, and other medical school constituents, utilizing knowledge of University, Departmental and Division policies.
Independently manage general operations including, budget, human resources, procurement, communications, compliance, outreach, student affairs and faculty affairs.
Manage facilities and space requests.
Manage faculty recruitment and facilitate new faculty onboarding.
Update faculty bio-sketches and maintain publication files for faculty members; prepare annual Faculty Reviews, Compact, and Promotion and Tenure documents.
Oversee division website content for Department of Pediatrics, M Health Fairview, University of Minnesota Physicians.
Plan and assist with executive-level meetings, seminars and/or conferences.
Clinical Support - 35%
Manage, create and maintain complex annual physician attending and monthly call schedules.
Identify billing discrepancies for faculty cFTE. Work with Pediatric Financial Team to improve.
Coordination of Resident Education - 20%
Resident liaison; manage and oversee orientation communication with residents, including welcome letter, electronic educational tool orientation, introductory emails, scheduling requests and any resident-specific progress updates or feedback.
Identify educational web based delivery systems to enhance resident rotation.
Periodically review evaluation tools and materials with Director of Education; organize updates with Medical Education and suggest improvements.
Manage an internal division timeline for emails, templates, evaluations and rotation specific updates.
Coordinate resident educational activities outside of clinical rotations as needed.
Finance – 5%
Manage and maintain database of division financial records.
Review, approve and process financial transactions.
Manage Purchasing Card and complete month-end reconciliation through EFS.
Other duties as assigned within job description – 5%
Support special projects and other duties as assigned.
*This position is performed in a hybrid work environment split between on-site and remote. Time on-site will be determined by supervisor.*

Required Qualifications:
BA/BS or a combination of related education and work experience to equal four years.
Preferred Qualifications:

Demonstrated experience working with complex calendars and scheduling meetings for professionals.

Prior University of Minnesota work experience and/or in an academic institution setting and/or academic medical setting.
Experience in physician scheduling and familiarity with physician scheduling systems (Qgenda).
Experience with Qualtrics Survey Application.

Experience with the University Enterprise Financial System (EFS) or other compatible financial systems.
