PROGRAM COORDINATOR, EOP&S, CARE, AND CALWORKS

Ideal Candidate Statement: We are seeking an equity-minded educator who can facilitate communication, outreach, and retention that is accessible to and centers our first-generation college students while prioritizing African American, Latinx, and ALL undocumented communities.It is imperative that the EOPS/CARE/CalWORKs Coordinator thoughtfully create, plan and implement programming and activities designed to build community with underrepresented students in mind.

An ideal candidate would be detail-oriented, innovative, resourceful, work well independently, and collaborate with internal and external partners to close equity gaps among disproportionately impacted students further as needed. To help make strides in this work, the EOPS/CARE/CalWORKs Coordinator will assist in coordinating activities and events to build community, create meaningful connections, and give students a sense of belonging. In addition, the ideal candidate will work with faculty, counselors, deans, student services staff, and appropriate committees to establish and assist in maintaining and improving the processes and procedures and ensure student success.

Furthermore, the EOPS/CARE/CalWORKs Coordinator must be able to serve students from a broad range of cultural heritages, socioeconomic backgrounds, gender, abilities, and orientation. The ideal candidate will perform various technical duties supporting the assigned student services program areas, including; admissions and records, counseling, financial aid intake, and data entry for EOPS/CARE/CalWORKs and CALWIN System) transfer center, tutoring center, or other program areas. In addition, the coordinator will provide students, staff, and others with specialized information, training, and assistance related to areas of assignment.Ideally, our coordinator should value mentorship and work in a collegial, collaborative environment.

Job Description Summary: This position is funded by categorical funds, and employment is subject to those funds being available.

Under general supervision, the position organizes the day to day operations of the EOP&S, CARE and CalWORKs Programs. The position assists the supervising manager by performing duties that ensure eligibility of students into the program and that the department provides support services to the students of the program.

Essential Duties:
  1. Organize the educational support services for students that are affiliated with the EOPS, CARE, and CalWORKs such as, but not limited to, counseling, early registration, tutoring support, book services, and workshops;
  2. Organize the intake of student applications into the EOPS, CARE, & CalWORKs programs to streamline the collection of supporting documentation and screen for all eligibility factors;
  3. Monitor the progress of students in the programs - to ensure compliance with program regulations;
  4. Compile data related to EOPS/CARE & CalWORKs student retention, student schedules, academic progress, financial aid awards, matriculation and transfers to develop services that address student needs and to provide necessary information to appropriate agencies;
  5. Organize orientations, workshops, and trainings for students in the EOPS, CARE, and CalWORKs programs that address areas of student needs;
  6. Organize recruitment activities to bring awareness of the EOP&S, CARE, and CalWORKs programs and services to eligible students;
  7. Attend meetings with county agencies to discuss the services provided to students;
  8. Conduct student surveys to assess the effectiveness of services;
  9. Assist the Director in monitoring the EOPS, CARE, and CalWORKs budgets;
  10. Process student appeals related to entry into the EOPS, CARE, and CalWORKs programs;
  11. Organize reports and update student records related to program eligibility
  12. Demonstrate sensitivity to and respect for the diverse academic, socioeconomic, cultural, disability and ethnic backgrounds of the Colleges students, faculty, staff, and community;
  13. Effectively engage and support historically disproportionately impacted groups by addressing issues of equity and improving culturally responsive service-oriented practices.
  14. Assist in recruiting, interviewing, training and providing work direction to student assistants and temporary workers.
  15. Coordinate with other programs and departments to refer students as needed;
  16. Perform related duties as assigned.





Knowledge, Skills, and Abilities: KNOWLEDGE OF:
  1. State regulations governing the eligibility requirements into the EOPS, CARE, and CalWORKs program
  2. Appointment scheduling software
  3. Data reporting software
  4. Calwin State Database
  5. General office software
  6. Familiarity with EOP&S, CARE, & CalWORKs programs


SKILLS TO:
  1. Use knowledge of the state regulations governing the EOPS, CARE, and CalWORKs programs to determine if applications are accepted, denied, or incomplete; assist students navigate the program while attending the District; ensure eligibility upon entry into the program and continued eligibility; track services provided to EOPS/CARE and CalWORKs students as required by state regulations.
  2. Use Calwin state database to review the county services provided to students and determine eligibility into the CARE and CalWORKs programs
  3. Use ERP Software to monitor program funds and develop purchase orders
  4. Use data reporting software to aggregate data and develop reports
  5. Use appointment scheduling software to schedule counseling appointments
  6. Use general office software and equipment to develop surveys, reports, training materials, aggregate data, communicate with students and District staff, and coordinate workshops and trainings.
ABILITY TO:
  1. Effectively ensure the eligibility, and continued eligibility, of students into the EOPS, CARE, and CalWORKs programs
  2. Effectively maintain a valid class C Drivers license
  3. Ensure the accuracy of data that is provided
  4. Effectively organize the disbursement of program funds to students.
  5. Effectively analyze the budget to project the needs of future funds and reconcile funds
  6. Ensure communications and departmental services are sensitive to and exhibit an understanding of the diverse academic, socioeconomic, cultural, disability, gender identity, sexual orientation, and ethnic backgrounds of community college students
  7. Conduct presentations
  8. Develop and maintain effective relationships with staff and students
  9. Communicate effectively orally and in writing


Education and Experience: Any combination of Bachelors Degree
AND
2 years of experience in higher education and evidence of successful experience in coordinating programs and services for a culturally and linguistically diverse student population.

Must have evidence of responsiveness to and understanding of the diverse academic, socioeconomic, cultural, disability, gender identity, sexual orientation, and ethnic backgrounds of community college students, as these factors relate to the need for equity-minded practices.
