Associate Director, Fraternity & Sorority Life

Primary Purpose:
Reporting to the Director, Student Involvement, the Associate Director, Fraternity & Sorority Life is responsible for the supervision and management of Greek Life at Pacific. The Associate Director will provide daily leadership to the Greek program, including: development and oversight of the chapter accreditation program, advising governing councils, oversight of the Fraternity/Sorority Judicial Review Board, coordination of the Greek recruitment processes, and developing a comprehensive strategic plan that includes compliance training to facilitate a thriving Greek Life program.

The Associate Director also leads and supports each council (Inter-fraternity Council -IFC, Panhellenic, Professional Greek Council, and Multicultural Council -MGC), with a strategic plan and weekly meetings along with advising of student organization leaders, providing comprehensive direction and guidance in planning projects and events; serving as a resource to students; assessing and maintaining risk management practices; developing and ensuring compliance with all educational programming. The Associate Director will also work in conjunction with Residential Life & Housing staff to strategically support housed Greek-lettered organizations.

Essential Functions:

1. Provides supervision, leadership and comprehensive support to all Greek lettered organizations supporting the development, management, and sustainability of Greek Life in accordance to university priorities and student support. Evaluates, assesses, recommends and implements success strategies for Greek Life at the University of the Pacific.
2. Serves as the direct advisor to all social and professional Greek organizations, including attending meetings, and providing one-to-one advising, mentorship and professional development. Directly facilitate and lead each organization to define and meet chapter and university goals. Serves as the primary Greek Life contact for all national headquarters’ offices and the outside community.
3. Develops and maintains collaborative relationships with academic units and their professional Greek student organizations, ensuring compliance with educational programming.
4. Serves as the professional staff advisor to the Inter-Fraternity Council, Multicultural Greek Council, Panhellenic Council, Professional Greek Council, and Order of Omega. Meeting weekly with the councils and developing comprehensive direction and guidance on collaborations, promoting Greek Life at Pacific and enhancing developmental opportunities for each member and leader.
5. Develops, manages and oversees multiple budgets that support Greek Life; monitors and approves unit’s budget expenditures; exercises budget authority for all chapters and councils, working with the unit’s Business Manager, ensures fiscal accountability and adherence to all University policies.
6. Provides supervision in the planning, development, coordination, implementation and evaluation of all Greek programs and related student engagement activities and initiatives. Supports other professional staff, programs, and events including participation of Greek Life in division and University events including but not limited to: Move-in, Week of Welcome, Homecoming, and Admissions Prospective and Confirmed Student Events.
7. Manages all vendor contracts in the unit’s area. Ensures vendor forms are complete, submits all contracts and agreements into University Contracts system (Cobblestone). Ensures contracts are approved and signed prior to events.
8. Responsible for the development, implementation and evaluation of the University Greek Chapter Standards Program. Ensures that all chapter standards and regulations regarding chapter membership meet compliance standards.
9. Oversees the implementation and execution of all Greek major programming including: the Emerging Leaders Program, Advanced Leaders Program, Council and Chapter President retreats and trainings, Greek Leadership Retreat and formal recruitment of new members including orientation, activities, workshops, new member qualification review and bid-matching.
10. Responsible for identifying, recruiting and training active faculty and alumni advisors who will protect the values and mission of the University while coaching and mentoring their respective Greek organization.
11. Interprets, administers and ensures compliance with all University policies and procedures for the Greek Life program and makes recommended policy changes. Serves as the primary liaison between Greek Life and university departments.
12. In collaboration with the office of Student Conduct & Community Standards, supports the Greek Life Review Board, including but not limited to scheduling meetings, hearings and coordinating correspondence between students and staff to ensure proper adjudication of chapter violations and follow up on chapter sanctions.
13. Serve as data steward for Greek Life. Processes and evaluates Greek Life academic, membership recruitment, enrollment, compliance trainings, and demographic data. Manage and update forms related to the daily operation of Greek Life; and manage information and files on membership and activities of chapters.
14. Collaborates with Residential Life & Housing in planning and management of Greek residential facilities. Includes but is not limited to ensuring the allocation of resources relating to physical improvements of Greek residential facilities, establishment of occupation expectations, communication between Greek Chapters and Residential Life and Housing and other related matters.
15. Serves as Risk Management consultant to all Greek organizations and is the primary liaison between Student Involvement and the Department of Risk Management.
16. Create a diverse, equitable and inclusive environment where all voices can be heard. Demonstrate cultural competence and success in working with diverse student groups.
17. Works collaboratively with department, division and university partners including ASuop Advisors, Registered Student Organizations, Pacific Recreation, Residential Life and Housing, Equity programs, Student Conduct and Community Standards, Student Life and Academic Departments to support student retention.
18. Coordinates, prepares and facilitates presentations for major University events geared toward recruiting, retaining and students’ persistence to graduation.
19. Makes management decisions and responsible for the direct supervision, hiring, training and evaluation of student employees.
20. Participates in Division of Student Life Events and Committees as requested and performs other related duties as assigned.

This position serves as Campus Security Authority (CSA) as outlined by the Clery Act. CSAs have federally mandated responsibilities to report crimes that are reported them.

Minimum Qualifications:

• Master’s Degree in leadership education, higher education administration, student personnel, or related discipline.
• Three (3) years of professional experience in student activities, fraternity and sorority affairs, leadership planning/development, or advising student groups in a higher education setting.
• One (1) year of experience in budget preparation and oversight, staff supervision and leadership initiatives.

Preferred Qualifications:

• Five (5) years of professional experience in student activities, fraternity and sorority life, leadership planning/development, or advising student groups in a higher education setting.
• Membership in a Greek Letter organization.

• Exceptional interpersonal and communication skills, strong organizational skills, the ability to manage multiple priorities, and the willingness to work and communicate effectively with diverse populations and as a team.
• Demonstrate an understanding of the value of student activities and of the motivations of students who participate in them.
• Ability to sustain communication with diverse groups, anticipate problems, reconcile conflicts, and maintain a strong philosophical base for student activities.
• Excellent written and oral communication skills are required for interaction with variety of individuals (students, parents, faculty) and presentations.
• Demonstrated ability in supervision, administration, organization and programming skills.
• Proficiency in standard office computer programs and MS Office Suite.
• Ability to deal with sensitive issues of student development, diversity, and populations with special needs.
• Possesses functional knowledge of fraternity and sorority life and be able to work effectively with university students, staff and faculty; Exceptional relationship building with National FSL organization partners and community leaders connected to Greek matters.
• Demonstrated ability to be creative, energetic; take initiative; be mature, collaborative, and approachable and have a strong work ethic.
• Positive attitude, proven ability to work successfully with diverse populations and demonstrated commitment to promote and enhance diversity and inclusion.
• Experience and sensitivity in working with people of diverse backgrounds and cultures.
• Demonstrated experience in advancing social justice, equity, and inclusion in a university setting.
• Ability to engage and integrate culturally responsive practices and knowledge in their work.

Work Environment/Work Week/Travel:
Work is primarily performed in a standard office environment. Work is performed during standard business hours, with weekend and after-hours required to attend student, division and University events, in which case schedule may need to be flexed to accommodate. Some travel may be required including to other campuses and attending relevant conferences or other professional development sessions.

Hiring Range: $64,480 - $65,880 per year. We consider factors such as, but not limited to, scope and responsibilities of the position, candidate’s qualifications, internal equity, as well as market and organizational considerations when extending an offer.
