The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.
 

Position Summary

Reporting to the Associate Director of Graduate Admission Operations, the Assistant Director of Graduate Admissions is responsible for graduate admissions operations and systems. The Assistant Director will be tasked with executing admissions operations to meet the institutional enrollment goals and targets of the Office of Graduate Admissions. The Assistant Director is expected to be a subject matter expert in enrollment technology and will serve as a point of contact for Admission Staff and others throughout the School to support all items related to the Slate CRM, and other admission-related technology. They will uphold and strengthen the integrity of the admissions process flow from application through enrollment.


Responsibilities

  • (35%) CRM System Management:

    • Manage all activities tied to Slate and related business systems, including design, implementation, testing, enhancements, integration, and maintenance, while following best practices on behalf of the Office of Graduate Admissions, Columbia Video Network, Student Affairs, Academic Departments, Information Technology, Registrar, Specialty Program Leaders, and Institutional Research.

    • Lead and execute projects related to admissions processes from project inception to implementation, maintenance, and analysis.

    • Analyze complex business problems to identify and independently implement solutions consistent with the School???s vision, exhibiting a high level of analysis, creativity, and resourcefulness

    • Update and maintain application status and event portals for Graduate Admissions, Columbia Video Network, and Specialty Programs.

    • Build and maintain data imports and exports between School, Slate, and/or external systems.

    • Train and create documentation for relevant stakeholders, including School administrators, Faculty, and/or Admissions staff.

    • Serve as a leader on the Admissions Operations team, supervising an Admissions Operations Officer, and providing guidance to junior staff members.

    • Creates and maintains communications templates within the CRM in alignment with university brand standards, and manages deliver mailings to communicate with applicants and students.

  • (35%) Admissions and Enrollment Operations:

    • Manage all aspects of graduate admissions and enrollment operations, including application review and verification, rendering decisions, and ensuring compliance with School and University policies.

    • Implement the graduate application reader review process between admissions and external offices/departments, including reviewing graduate applications for admission decisions, assigning and distributing files for review, and making admissions decisions and recommendations.

    • Through the Technolutions Slate application system, manage the lifecycle of an application throughout the admissions process for graduate applicants to SEAS. Manages procedures and the workflow of graduate admission applications.

    • Work with Engineering faculty to determine admission criteria, review applicants, sort applications, and provide recommendations to Faculty. Read and evaluate admission applications from assigned disciplines.

    • Planning and administration of a graduate admissions operations workflow that engages initial prospects, drives application submission, processes applications, and decisions in a timely manner, and supports the onboarding and enrollment of all new students. 

    • Recommend, establish, and enforce admissions policies and procedures in consultation with the graduate admissions team and/or external offices utilizing Slate for application processing.

    • Act as a collaborative member of the Graduate Admissions team, participating in all Admissions activities when needed ??? such as recruitment and yield events, open house, and more.

    • Design training modules and execute training to team members on fraud detection, document management, and other areas as needed based on an assessment of team member work execution, working with team members and supervisors to ensure operational aspects of the work are executed to standard.

  • (25%) Data Reporting and Analysis:

    • Build and maintain queries and reports within Slate needed for admissions operations and academic departments. Create and manage queries and reports for the purpose of measuring, analyzing, and assessing admission data and results.

    • Responsible for providing data analysis for enrollment management, including data cleaning, data management, and statistical analysis tasks, identifying and solving data issues, and tracking, organizing, and maintaining data and metrics.

    • Work with both internal and external stakeholders to review data and application imports and exports into third-party sources, such as SIS, On-Base, and other systems integral to the student life cycle.

    • Analyze data and manage historical data for use by School leadership and other offices/departments.

  • (5%) Other duties as assigned


Minimum Qualifications

  • Education:

    Bachelor???s Degree. Master's Degree preferred 

  • Experience:

    Minimum 2-4 years of related experience required.

    Experience with Slate Technolutions is strongly preferred.

    Data Analytics  experience in web-based student information systems or event registration systems.

    Work independently. An understanding of innovative uses of technology in admissions workflow and financial management processes.

    Experience in evaluating applications, including academic performance, prerequisite coursework, and application essays. Experience in admissions and recruitment for higher education.

    Experience demonstrating a progression of dealing with increasingly complex systems.

    Experience with relational databases and a basic understanding of Slate CRM system. Strong background and proven record in execution and problem-solving

    Demonstrate  both excellent working relationships and strong communication skills.

    Able to troubleshoot complex issues independently to determine root cause while maintaining detailed documentation of the progress through completion.

    Able to build relationships, elicit and understand customer needs, analyze, understand, and document business processes

    Able to think both tactically and strategically.

    Able to function with autonomy, making sound and timely decisions as appropriate, and using good judgement to determine which decisions should be escalated.

    Able to anticipate problems and proactively develop appropriate solutions.

    Able to appropriately assess and communicate risks, benefits, and alternatives.

    Able to work well within a team environment.

    Able to prioritize, attention to details, time management, and organizational skills.

    Able to handle multiple tasks or projects at one time meeting assigned deadlines.
