The University of Illinois Chicago is accepting applications for the Associate Director for Family & Transition Programs within the office of New Student and Family Programs (NSFP). UIC is seeking candidates who are passionate about creating inclusive and equitable orientation, transition, and retention programs for incoming new students and their families. The Associate Director for Family & Transition Programs is a new position and will serve as the primary contact for all internal and external campus partners in relation to parent and family programming. This includes the planning, coordination, implementation, and assessment of parent/family orientation programs, Family Weekend, Flames Family Hub, and other resources for parents and families of UIC students. Additionally, the Associate Director for Family & Transition Programs leads transition initiatives within the office like Weeks of Welcome, pre-orientation programming, and extended orientation programming. This position serves as the primary supervisor for undergraduate student assistant staff and graduate assistants.

About New Student and Family Programs:

New Student and Family Programs is a vital part of the UIC student experience and maintains a portfolio that includes UIC Orientation, New Student Convocation, Family Weekend, Weeks of Welcome, parent and family programming, and much more. NSFP is committed to the holistic transition of new students and their parents, family members, and support units. Comprising one of the six units within Student Engagement, NSFP strives to create programs, services, and opportunities which support the mission and values of UIC, the Division of Students Affairs, and UIC’s diverse and varied student population.

Position Responsibilities:

  • Champion the voice of parents and family members of UIC students through strategic partnerships with campus leaders which includes identifying needs, researching and analyzing trends and external benchmarks, and developing feedback mechanisms to administer a campus-wide vision for the parent and family experience.
  • Lead all orientation efforts related to parent/family/guest programming. This includes calendar planning, developing sessions, working with campus partners, facilitating presentations, coordinating speakers and panel participants, and arranging social and networking opportunities within and beyond the program.
  • Lead assessment efforts related to all parent and family programming, including developing the instrument, administration/distribution, analyzing/communicating of results, implementation of findings, and ongoing planning.
  • Develop and serve as primary contact for all parent and family communications outlets including social media, the Parent & Family Guide publication, and parent and family email accounts.
  • Liaison to CampusESP, the vendor which houses our parent and family portal (Flames Family Hub). Work with the ongoing contract and serve as contact for platform usage including development of content, post approval, management of communication, membership recruitment, assessment of usage, data retrieval and application, and planning for improvements and future usage opportunities.
  • Work with content creation, maintenance, and technology integration of the UIC Pre-Orientation portal related to parent and family involvement. This includes working with the vendor (Advantage Design Group), campus content partners, the UIC Office of Student Systems Services, and other representatives to ensure engagement and seamless implementation.
  • Lead all planning for UIC Family Weekend including arranging meeting and conference facilities, coordination of food service, event communication, marketing, registration, event planning, and all other transportation and event related logistics. This also includes the solicitation of vendors and negotiation of contracts and services.
  • Serve as primary contact for UIC Weeks of Welcome, including program/event creation and facilitation, championing university-wide involvement, coordinating marketing and recruitment, and working on long-term forecasting.
  • Coordinate the printing, publication and distribution of all parent, family, and student transition materials including brochures, pamphlets, flyers, resource guides, electronic communications, and the UIC Flames Planner. Write, edit, and coordinate the layout of all materials and work with established and new vendors to meet timelines, deadlines, and produce cutting edge communication and resources.
  • Monitor departmental budgets related to parent and family programming, work with external and internal vendors on contracts, purchasing processes, ensuring effective and efficient spending related to department needs, and identification of opportunities for partnerships and sponsorships.
  • Serve as primary supervisor for New Student and Family Programs Student Assistants/Office staff and Graduate Assistants including recruitment, selection processes, hiring, staff training and evaluation, time reporting/tracking, scheduling, and performance reviews.
  • Establish, build, and maintain a UIC Parent and Family Council. This includes establishing purpose, recruitment and retaining members, developing strategic priorities, and long-term forecasting.
  • Serve as co-instructor (with NSFP Associate Director for Orientation Programs) for the ASP 096 Course, as part of the training and selection of UIC Orientation Leaders. Plan, assign and review work of staff to ensure that group objectives are met. Hire, train, develop and manage staff to ensure that a qualified staff exists to meet group objectives.
  • Create, plan, and facilitate year-round experiences and activities for parents and family members of UIC students.
  • Support NSFP initiatives through staffing, planning, and facilitation. This includes UIC Orientation, New Student Convocation, and other department-wide initiatives.
  • Serving on various committees and initiatives that support the work of NSFP, Student Engagement, and Student Affairs priorities (search committees, steering committees, divisional retreats, and other opportunities).
  • Perform other related duties and participate in special projects as assigned.

Benefits:

Requirements:

  • Master’s degree in higher education administration, college student personnel or a related field.
  • Minimum of 3-5 years of experience in student affairs, parent and family programming, new student orientation programming, first-year experience programming, or educational program planning.
  • Previous professional experience leading or planning programming for the parents and family members of college students required.
  • Previous experience with supervision of college students, including experience with training, recruitment, and management of student staff preferred.
  • Strong organizational, leadership and project management skills. Strong verbal and written communication skills and interpersonal skills necessary.
