Job Overview
The Executive Assistant serves as the primary administrative support to the Dean, to include communication with partners, scheduling, meeting and event planning, and travel arrangements.
They manage the workflow of the Dean's Office to ensure quality and timeliness of reports, correspondence and related items - employing exceptional communication, organizational, problem solving, and technical administrative skills.
They provide managerial and administrative support of many of the affairs of the School on behalf of the Dean and Dean's senior leadership. They also provide high-level administrative support by way of effective and efficient communication management and implementation of objectives and projects from the Office of the Dean.
When assigned, they apply leadership and competence in managing activities of importance to the School which live outside specific programs and areas
As well, they provide support to the Graduate School's Student Affairs team during the Graduate School of Arts and Sciences Commencement Ceremony and Doctoral Hooding Ceremony, as well as any decanal level events.
Work Interactions
The Executive Assistant reports directly to the Dean of the Graduate School with secondary reporting to the Senior Director of Finance. Project specific work and other duties may also have reporting through the Associate Dean of Academic Affairs and the Associate Dean of Admissions.
The Executive Assistant serves as a critical liaison between the Dean and faculty, staff, and students; alumni as well as cross campus departments. discretion, judgment, tact, and poise.
They necessarily have broad and comprehensive knowledge of the University's policies and operations to perform highly confidential duties.
In all duties and assignments, they perform with discretion, judgment, tact, and poise.
Qualifications
Bachelor's degree and at least 5 years of related experience [note: consideration will be given to candidates with an equivalent combination of education and work experience]
Proven experience as an executive assistant or other relevant administrative support experience
Ability to organize a daily workload by priorities
Ability to meet deadlines in a fast-paced, quickly changing environment
A proactive approach to problem-solving with strong decision-making skills Professional level verbal and written communications skills
Political acumen and sensitivities to the differing perspectives and circumstances within all levels of the organization, as well external constituencies
In-depth understanding of entire MS Office Suite.
