Johns Hopkins Carey Business School is seeking a professional and versatile individual with strong administrative and organization skills for a full-time role as Student Retention Specialist in our Office of Education, providing academic and administrative coordination in support of a variety of academic program processes and activities.


The Student Retention Specialist works in direct relationship with incoming Carey Business School students in part-time (PT) Master of Science (MS), MBA, and certificate programs at The position is responsible for managing the process for initial communication and outreach to new PT students who have confirmed their offer of admissions and facilitating the process of moving students from point of deposit to registration. The Student Retention Specialist is a key liaison with the Office of Admissions and bridge for students from the admission process to the Carey student experience. This position will be responsible for running newly confirmed student reports, developing and maintaining email templates, sending emails to confirmed students, and responding to any follow up inquiries. In addition, this position will manage the assignment of academic advisors in Slate. The position will also be responsible for implementing and refining processes to identify students at risk of being deactivated in the student information system as well as early alert communications 3-5 times each year. Additionally, the Student Retention Specialist will assist the Programs & Advising team in managing emails from current students, assist with front desk coverage, and providing advising administrative support as needed.


Note: The Student Retention Specialist position is a hybrid position based out of the Harbor East campus located in Baltimore, Maryland. The position is expected to be on-site at least 3 days each week.


Specific Duties & Responsibilities


Newly confirmed & continuing student communication (60%)

  • Run confirmed student reports, in collaboration with admissions team.
  • Manage email template process to use in communication with newly confirmed and continuing PT students.
  • Serve as initial point of contact to admitted PT students within the Programs & Advising team.
  • Conduct follow up email communication with confirmed and continuing students.
  • Refer student emails to Academic Advising, Program Managers, or a relevant Carey unit (i.e. Financial Aid, Student Affairs, etc., etc.) as necessary.
  • Work with Marketing and Admissions teams to maintain and improve communications process for new students.


Retention Initiatives for Continuing Students (25%)

  • Run reports to identify students at risk of stopping out or becoming Inactive in Student Information System.
  • Update and send communication to these students on a regular schedule three times a year.
  • Implement early alert process to identify and assist students who are not participating in online coursework.
  • Communicate Add/Drop and Tuition Refund deadlines to all Flex MBA and PT students.
  • Manage questions and responses from students in response to all the above initiatives.


Advising Administrative Support (15%)

  • Help manage program email accounts, answer and redirect student inquiries as appropriate.
  • Assist in the development and maintenance of advising information for group advising sessions.
  • Assist in the development and maintenance of advising information materials for current students.
  • Other duties as assigned.


Special Knowledge, Skills, & Abilities

  • Knowledge of SIS, Slate, and other related JHU educational support systems, preferred.
  • Intermediate proficiency in MS Word, Excel and PowerPoint, Qualtrics.
  • Basic research and data analysis skills.
  • Strong writing and customer service skills.
  • Ability to draft original correspondence.
  • Ability to work independently.
  • Ability to perform multiple tasks concurrently.
  • Ability to set priorities and meet deadlines.
  • Strong communication, interpersonal, critical thinking, and organizational skills.
  • Ability to work with a diverse population, to include faculty, students, staff, and external constituents.


Minimum Qualifications
  • High School Diploma or graduation equivalent.
  • Three years administrative/academic related experience.
  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.


Preferred Qualifications
  • Master's Degree in a business-related discipline or higher education administration.
  • 1 year of experience administrative support experience in an academic or advising office.

JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.
