Manages course-related micro-grant applications, supporting the ED/AD in clearly communicating grant policies, processes and timelines, ensuring timely application review and feedback to applicants, and explaining next steps to instructor grantees.
Supports course instructors in executing grant-funded experiential learning activities, including payments to guest speakers, transportation for course trips, reimbursements of costs associated with fieldwork, logistical arrangements for course-related events, and procurement of needed materials and services.
Coordinates hiring and assignment of Chicago Studies-funded term lecturers (Chicago Teaching Scholars) and instructional and teaching assistants; processes all related appointments; and orients/assists new hires with onboarding, access to academic technology and campus resources, and fulfillment of administrative requirements for temporary employment as an instructor.
Administers quarterly course cross-listing process; maintains accurate records of both CHST-parented and cross-listed courses in unit-based and University-wide systems.
Prepares status reports on course and program-wide enrollment, teaching, course offerings and other relevant metrics.
Serves as a main point of contact and assists students with course registration issues and adjustments in CHST-led classes and course bundles.

Coordinates hiring of Chicago Studies-funded Faculty Fellows, researchers, and research assistants; processes all related appointments.
Collects and documents partnership agreements/memos of understanding with external collaborators and reinforces regular check-ins about shared priorities in collaborative research projects.
Manages logistics for unit-sponsored para-curricular programming (transportation, space, A/V, supplies, catering); creates mechanisms for event registration, tracking, and evaluation; analyzes feedback and reports on participation data; and oversees the development and dissemination of path-making resources to connect participants to related opportunities.
Administers all financial processes associated with para-curricular activities, including payment of guest speakers, honoraria, etc.
Manages Chicago Studiesâ™ marketing and communications (website, social media, newsletter, visual identity) and coordinates with relevant UChicago and partner communications teams.
Supervises Chicago Studiesâ™ year-round team of undergraduate communications specialists (2-3 per year) and ad hoc media specialists (photographers, graphic designers), convening weekly team huddles and providing ongoing individual supervision and project management, performance evaluation, and recruitment/hiring.
Administers marketing/communications budget and approves student salaries (FWS/non-FWS).
Oversees design and production of program-branded materials for promotion (SWAG, posters, etc.).
Maintains and publishes calendar of program-wide administrative requirements and deadlines (course scheduling, registration, Chicago Studies quarter applications; Chicago Studies Certificate submission deadlines).
Collaborates with the ED/AD to develop, implement, assess, and evaluate Chicago Studiesâ™ annual strategic priorities related to administration and operations.
Provides logistical support for Chicago Studies advisory groups and/or focus groups convened by the ED/AD for program evaluation.
Coordinates special projects as needed at the request of the ED/AD.
Sets and communicates program priorities and performance standards and assesses operations using these criteria. Plans and conducts quality assurance reviews and recommends changes as appropriate.
Analyzes program budgets and recommends or makes budgetary recommendations.
Performs other related work as needed.
Preferred Qualifications
Education:
Bachelorâ™s degree in a related field (e.g., urban studies, history, architecture, sociology).
Masterâ™s degree in higher education or related field.
Experience:
Minimum 2 years professional work experience in higher education administration and/or student affairs administration.
Specialized knowledge of project management, marketing/communications, and/or event planning.
Specialized knowledge of and experience living in Chicago (as resident, professional, etc.).
Technical Skills or Knowledge:
Proficiency in Mac and/or PC environments.
Proficiency in Word, Excel, Outlook, and online organizational/project management tools.
Familiarity with cloud-based data management structures (Airtable).
Familiarity with web development and social media environments.
