UC Santa Cruz Student Health Services (SHS) is recruiting for a seasoned administrative professional to support the Associate Vice Chancellor of Student Health and Wellness and senior leadership using executive level skills to complete tasks and assignments. The Senior Support Analyst will also coordinate the SHS clinical credentialing program and other special projects.

DEPARTMENT OVERVIEW

The Division of Student Affairs and Success (DSAS) provides campus-wide coordination and leadership for student success programs and activities across departments, divisions, colleges, and administrative units. Student Health Services (SHS) is a branch of DSAS and operates a full-service medical facility offering clinical, educational, and psychological support to UCSC Students. SHS is deeply committed to ensuring affordable, well-integrated, multidisciplinary healthcare that effectively supports the university's diverse campus communities through equitable access and culturally competent, high-quality programs and services. The SHS Primary Care Program includes primary care and same-day care, with the support of on-site radiology, a COLA-accredited high-complexity clinical laboratory and campus pharmacy. Counseling and Psychological Services (CAPS) supports UCSC students to maintain or improve their general well-being by providing a broad range of counseling, psychiatric services, consultation and outreach services and programs. Other areas of service include Student Health Outreach and Promotion (SHOP); CARE (Campus Advocacy, Resources, and Education) the advocacy and prevention education office that supports survivors of sexual assault, stalking, and dating/domestic violence; along with Student Insurance Programs. Student Health Services employs approximately 150 staff including physicians, psychiatrists, case managers, lab scientists, pharmacists, nurses, radiologists, and many other clinical and administrative staff. We welcome staff with interest and experience working with students with a wide range of ethnic, cultural, and gender identities.

JOB SUMMARY

Under the direction of the Associate Vice Chancellor for Health & Wellness (AVC SH&W), the incumbent uses skills as a seasoned, experienced professional with a full understanding of analytical practices, policies, and procedures; researches, analyzes and develops solutions to a wide range of issues including the credentialing and privileging of clinical staff. Primarily deals with policies, programs and proposals which are complex in nature and diverse in scope and develops new programs, policies or procedures for possible implementation. The Senior Support Analyst will address problems of diverse scope that will require demonstrating good judgment in selecting methods and techniques for obtaining solutions.

APPOINTMENT INFORMATION

Budgeted Salary: $75,000 - $90,000/ Annually. Salary commensurate with skills, qualifications and experience.
Under California law, the University of California, Santa Cruz is required to provide a reasonable estimate of the compensation range for this role and should not offer a salary above the posted range. The salary shown above is the budgeted range the University reasonably expects to pay.

JOB DUTIES

55% - Credentialing and Policy Analysis
  • Oversees credentialing/re-credentialing and privileging for licensed independent, allied and affiliated staff practitioners. Validates discrepancies and ensures appropriate follow-up with provider and credentialing entities prior to being submitted to the Credentialing Committee. Reviews incoming application results from the UC-wide Credentialing Verification Organization (CVO) for initial credentialing and re-credentialing. Prepares and submits verification requests and other requests for information for positions that the CVO does not process.
  • Interprets credentialing policies and procedures and follows necessary steps to maintain credentialing status with internal and external entities. Ensures application of processes is consistent and proposes improvements to department procedures.
  • Monitors compliance with medical staff bylaws, rules, regulations, policies and procedures in addition to applicable federal, state and local regulatory and/or accrediting agencies. Ensures the credentialing process complies with UC, UCSC, and SHS department policies and procedures, AAAHC guidelines, IACS guidelines, medical staff bylaws, policies and procedures, and applicable Federal and State laws related to HCQIA. Collects copies of current and accurate verifying documentation in credential files (i.e. state licenses), DEA certificates, malpractice insurance coverage documentation, and any other required credentialing documents for all medical staff.
  • Collaborates to define processes for all the activities required to acquire credentials and documents in internal databases. Identifies process inefficiencies or bottlenecks and potential risks to policy compliance. Serves as principal liaison between SHS staff and with regard to the license verification and continuing education management process. Compiles, sets up and maintains credential records (database, spreadsheets, systems, etc.) for current and former medical staff.
  • Provides administrative support for peer review processes and ongoing action plans for licensed independent, allied and affiliated staff practitioners.
  • Tracks Student Health Services staff training requirements and monitors completion and follow-up with overdue training. Serves as co-administrator for UC Learning for SHS.
  • Ad hoc projects will be assigned in support of various programs and needs.

45% - Project Management and Administrative Support
  • Supports the Associate Vice Chancellor for Student Health and Wellness (AVC SH&W) and SHS senior leadership on a myriad of health and wellness-related initiatives and programs.
  • Proposes, leads and/or participates on policy and planning committees and working groups. Provides strategy development for organizational or research initiatives. Engages with colleagues in departments across campus to advocate for divisional initiatives and seek resolution to a wide variety of policy and administration issues.
  • Coordinates efforts with various external and internal contacts; researches organizational structures, policies and procedures and summarizes best practices in the field. Provides technical guidance and quality assessment.
  • Records and follows up on action items and projects from SHS committees and teams to ensure projects are moving forward; Maintains organization, department, and provider-specific dashboards and reports.
  • Engages in the research process and implementation of special projects under the direction/in collaboration with the AVC SH&W.
  • Applies theory and puts into practice an in-depth understanding of concepts related to analysis of data and systems pertaining to complex projects, policies, initiatives, processes, and or functions on behalf of the AVC SH&W, requiring facilitation and collaboration with representation within SHS and across the division and the campus
  • Schedules and assists the AVC SH&W to be accessible to staff, faculty, and students and provides administrative interface to set up and charge teams as appropriate. Supports AVC SH&W and senior leadership with administrative and clerical projects such as calendaring, travel coordination, reimbursements, report writing and special projects. Coordinates and provides support for special events, meetings, and unit-wide activities.
  • Other duties and special projects as assigned.


REQUIRED QUALIFICATIONS
  • Bachelor's degree in related area and/or equivalent experience/training.
  • Demonstrated analytical and problem solving skills to analyze and interpret written material and oral requirements, and to draw conclusions and make recommendations.
  • Sound attention to detail including ability to keep accurate detailed records.
  • Proven ability to apply external regulatory guidelines and internal accounting and administrative policies knowledge and skills to assess and monitor compliance and effectiveness of processes.
  • Solid skills in short- and long-range planning, program and project management, facilitation, and collaboration.
  • Extensive administrative skills and experience sufficient to provide support to a senior leadership team with multiple operations in a changing organization and environment.
  • Ability to independently set and meet deadlines while multi-tasking and assigning precedence to competing priorities; Ability to see multiple assignments through to completion on deadline.
  • Exceptional verbal and interpersonal skills to communicate detailed and complicated information effectively, with various campus and external constituents.

Demonstrated experience and competency with standard business equipment, computer technologies and a variety of software including system and networking software, e-mail and a variety of web-based programs and browsers, with the willingness and ability to update and increase skills as needed to meet the goals of the unit.
  • Ability to complete Certified Provider Credentialing Specialist training.

PREFERRED QUALIFICATIONS
  • Experience with executive level support.
  • Direct experience working on college campuses.


SPECIAL CONDITIONS OF EMPLOYMENT
  • Selected candidate will be required to pass a pre-employment criminal history background check.
  • Selected candidate will be required to take a TB test within 60 days of hire.
  • Selected candidate will be required to complete training within established time frames as directed including UC compliance training.
  • Must complete HIPAA (Health Insurance Portability and Accessibility) training within 30 days of hire.
  • Must comply with current Student Health Center employee health safety requirements for healthcare workers as defined by state and federal regulatory agencies; current health safety requirements are to be discussed during the interview.
