The Senior Program Coordinator will: act as the principal coordinator of all administrative aspects of one or more assigned degree and/or non-degree programs within the Graduate School of Biomedical Sciences (GSBS); act as the face of the program(s) to prospective students and to currently enrolled students, guiding them on requirements and processes and responding to their inquiries; and work closely with other team members assigned to support other programs, and with the Student Affairs team. This position will report to the Director of Curricular & Program Administration and will support selected faculty Program Directors.
Roles & Responsibilities:
Coordinate activities related to student recruitment:
Communicate with prospective candidates and assist with their inquiries.
Represent the Graduate School at recruitment events in person and virtually.
Use tools to track recruitment process and performance indicators.
Maintain social media presence and work with the marketing and recruitment team on developing digital recruitment material.
Maintain content accuracy of the program’s website.
As part of the recruitment team, consider and implement methods to increase the recruitment of a highly qualified and diverse student body.
Assist with execution of marketing and recruitment plans with the goal of optimizing the number of completed applications and yield
Implement email campaigns for prospective applicants through the CRM systems
Coordinate Admissions process:
Prepare applications for review by faculty screeners by ensuring applications are complete and summarizing key metrics. Work closely with the Office of Admissions within Enrollment Services.
Support student interviews as needed.
Support Admissions committee meetings and communicate results to candidates.
Maintain weekly admissions statistics.
Serve as point person to candidates, especially on non-academic questions.
Track outcomes of admission process, including data from applicants who decline.
Class Matriculation and Progress:
Work closely with other team members to plan and support program events such as New Student Orientation.
Communicate with the student body periodically regarding important deadlines and other curriculum-related matters. Monitor program mailbox and listserv.
Maintain student databases and ensure records are accurate.
Assist with checking out students for degree conferral/graduation and work with Registrar’s office to ensure that student records are updated.
Faculty Support
Coordinate logistics for classes and faculty-led events.
Ensure all courses and other program material are properly set up and updated in Learning Management System (Blackboard). Train faculty in the use of Blackboard and ensure all courses are compliant with Blackboard requirements.
Disseminate profiles of new faculty who wish to mentor students.
Advise faculty regarding Graduate School policies and procedures.
Facilitate appointment of ISMMS faculty to become GSBS training faculty.
Assist faculty and the Chair of curriculum committee in formulating new course proposals.
Other Key Responsibilities
Work with faculty and other program staff to schedule courses and communicate final schedules with the Registrar’s office and students.
Work with faculty and Registrar’s office to ensure timely submission of grades.
Coordinate program events, such as new student orientation, workshops, and other student engagement events.
Participate in data collection and review associated with the annual T Dollar process.
Maintain content accuracy of program policies and practices in the Student Handbook.
Research programs at other institutions.
Work with Student Affairs to coordinate nomination, selection and presentation of Graduate School Awards.
Adjust work schedule if needed to accommodate after hours/weekend functions.
Other responsibilities as required.
Requirements:
Bachelor’s degree required, Master’s degree in Education or another related field preferred.
Minimum of 3 years of work experience in higher education or related field, or equivalent combination of education and experience
Proactive; Good interpersonal skills; Excellent organizational skills
Ability to manage multiple tasks/priorities simultaneously
Strong computer skills and the ability to learn quickly cloud-based communication and project management applications
