Position Summary

Under the general supervision of the Associate Director of Financial Aid, the Financial Aid (FA) Business Analyst is responsible for providing direct functional support for SDSU's PeopleSoft Campus Solutions Financial Aid (FA) module including troubleshooting, ongoing configuration and setup, security, access requests, enhancement, upgrades, training, documentation, and testing in the system. This position works closely with end-users in the Financial Aid Office and business analysts supporting the other CS modules (Campus Community, Admissions, Student Records, and Student Financials) to ensure the proper functioning of the application and the accuracy of data stored in the system. The FA Business Analyst also partners and works with the SDSU IT Division and technical analysts to coordinate system improvements and upgrades beyond Oracle or CSU delivered functionality. The FA Business Analyst is the primary SDSU representative in CSU CMS-related meetings/activities.

This is a full-time (1.0 time-base), benefits eligible, temporary position anticipated to end on June 30, 2024, with the possibility of reappointment. This position is designated as exempt under FLSA and is not eligible for overtime compensation. Standard SDSU work hours are Monday - Friday, 8:00 a.m. to 4:30 p.m., but may vary based on operational needs.

This position is approved for partial telecommuting with onsite work in San Diego.

Department Summary

The Office of the Vice President for Student Affairs and Campus Diversity is responsible for the coordination and development of student services and building the inclusive excellence of SDSU's staff and faculty at San Diego State University. Departments include, but not limited to, Assistant Deans for Student Affairs; Career Services; Center for Educational Partnerships, Outreach and Success; Communications Services; Counseling and Psychological Services; Educational Opportunity Programs and Ethnic Affairs; Financial Aid and Scholarships; Joan and Art Barron Veterans Center; New Student and Parent Programs; Office of the Student Ombudsman; Residential Education; Resource Management; Student Ability Success Center; Student Health Services; Student Life and Leadership; Student Rights and Responsibilities; Testing Services Office; Well-being & Health Promotion; Cultural Centers; and programming related to Inclusive Excellence.

Division of Student Affairs and Campus Diversity

The Division works proactively to address systemic inequities through professional learning, community building, advocacy, policy recommendations and organizational structures, while facilitating an integrated vision and shared responsibility for prioritizing and advancing institutional goals. The Office of Financial Aid and Scholarships (OFAS) supports students attending SDSU at all of the university's campuses - San Diego, Imperial Valley, and Global Campus. OFAS determines student eligibility for federal, state, and institutional financial aid funds and private/institutional scholarship funds according to applicable statutes, regulations, and requirements, and coordinates the administration of these funds with numerous external sources. The responsibilities are carried out by a highly trained staff using an innovative, state-of-the-art data processing system and an efficient and effective organizational structure. The Office's broad range of responsibilities includes awarding over $250 million of financial aid and scholarship funds coordinated and administered by the university, counseling students and parents about availability and eligibility criteria for all aid programs, coordinating reporting responsibilities with all funding sources, and managing aid delivery in a timely and accurate manner.

The management team (the Director, one Associate Director, and three Assistant Directors) oversees all functions of the office, in consultation with the Vice President and Associate Vice President for Student Affairs and Campus Diversity Administration determines policy, approves procedures, manages the financial aid and scholarship funds and operating budget, collaborates with other university personnel, and provides a progressive and dynamic environment for staff to accomplish specified objectives. The financial aid and scholarship counseling and program administration staff (comprised of Student Services Professionals I, II, and III) administers assigned aid programs, scholarships and office functions, maintains applicant and award information in the financial aid and scholarship databases, retaining paper records only where required, evaluates all aspects of a student's eligibility including the exercise of professional judgment, and verifies initial and continued eligibility for various aid programs.

Education and Experience

Entry to this classification requires general knowledge and skills in the applicable administrative and/or program field with a foundational knowledge of public administration principles, practices, and methods. This foundation would normally be obtained through a bachelor's degree and/or equivalent training and administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs.

Key Qualifications
  • Extensive knowledge of the administration of federal, California, and CSU aid programs including regulatory requirements, aid processing systems, procedures, and cycles as demonstrated by a minimum of 2 years working in a CSU financial aid office.
  • Broad and in-depth experience working with the CSU's Common Management System (CMS) - PeopleSoft Campus Solutions, in particular the Financial Aid (FA) module including setup and configuration, aid year rollover, setup and maintenance of job sets and the process scheduler, creating and configuring run controls for all required processes, writing queries in Query Manager, troubleshooting problems, and training end users.
  • Experience working with the administration of financial aid and scholarships in a CSU setting using the PeopleSoft Campus Solutions Financial Aid module.
  • Manage multiple tasks in an environment of competing priorities through the use of effective organizational skills, successfully perform high volumes of detail-oriented tasks, and adjust to an extremely stressful, fast-paced environment.
  • Ability to establish and maintain effective, cooperative, and harmonious working relationships in circumstances that involve the denial of requests or the necessity to persuade others to accept a different point of view, while behaving professionally with tact, restraint, and persuasiveness to achieve understanding and cooperation.
  • Understand the role and use of automation in the delivery of financial aid and scholarships, to increase efficiency and accuracy and to provide excellent customer service.

Compensation and Benefits

Starting salary upon appointment is not expected to exceed exceed $7,084 per month.

Salary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department's fiscal resources.
