We are seeking a Assistant Director of Admissions who will reporting to the Senior Director of Recruitment & Special Programs, this position serves as a primary recruiter and admissions advisor for all mid-career master's and doctoral programs in the School of Advanced International Studies across the Washington, D.C., and Bologna, Italy campuses. Responsible for coordinating prospective student interviews and information sessions, assisting prospective students throughout the application process, implementing and overseeing data management protocols within the Slate Technolutions client relationship management (CRM) software, as well as administering the technical functions of importing and exporting applicant data from internal and external sources. This position is also responsible for all military-sponsored programs including the Strategic Thinkers Program (STP), the Navy Low-Residency Graduate Program, Advanced Civil Schooling, and the new United States Space Force Program (USSF) and the marketing and outreach to active-duty military and U.S. military veterans using the GI Bill to fund graduate school education. This position will monitor and update as necessary all website pages affiliated with special military programs and ensure that all collateral materials and the admissions newsletter have relevant and updated information regarding military programs, mid-career and doctoral programs. As a member of the Admissions team, this position works collaboratively with the Office of Financial Aid, Office of Student Affairs, Office of Alumni Relations, the Office of Marketing and Communications, and faculty to develop and implement sustainable and results-oriented recruitment efforts. A primary focus of this position will be to assist in developing data-driven admissions/recruitment campaigns and strategies for individual programs. Assist the Office of Admissions with meeting graduate student enrollment and revenue goals.
Specific Duties & Responsibilities
Recruitment/Outreach 40%
Cultivate key relationships with military partners and ensure that SAIS is responsive to their needs; stay apprised of changes in military funding programs and timelines.
Collaborate with the Veterans Affairs and Third-Party Payer (TOO) offices to ensure responsive customer service.
Schedule, host, and present at virtual information sessions during the fall and spring seasons with particular focus on mid-career and doctoral programs
Create and lead presentations to specific military audiences including ACS, STP, Navy LGEP, and USSF
Serve as key point of contact for external partnerships for the MAGP program.
Assist with logistics and operations of Open Houses and yield events.
Manage volunteer and paid student assistants to assist with recruitment initiatives.
Maintain relationships with mid-career and doctoral alumni to engage them to participate in recruitment events.
Represent SAIS at national and global recruitment fairs and conferences.
Requires travel to recruitment events and periodic evenings and weekend hours.
Application Review and Processing Support (25%)
Review mid-career master's and doctoral applications submitted during the early, regular, and rolling decision cycles. Provide information and services in-person, via telephone and email to prospective students regarding admissions related matters.
Serve as primary POC for all mid-career, doctoral, and military applicants regarding admissions processes and policies.
Provide information to prospective students on program eligibility, admissions application process, deadlines, and requirements.
Assist with status of files, contact students by phone or email to collect missing information and review admissions records for complete and accurate information and audits pending files for missing documents.
Manage the interview process to connect applicants with interviewers and supervise all MIPP and MAGP student interviewers.
Process admissions decision letters and ensure Slate is prepared for decision release.
Prepare special documentation required for admitted military applicants including Tuition Agreement Letters
Process admission status changes in the SIS system, including withdrawals, program changes, and deferrals.
Create guidelines and fact sheets with specific application instructions for military applicants including STP, USSF, ACS, LGEP, Air Force and others.
Develop marketing strategies for GI Bill-eligible prospective students.
Collaborate with MARCOMM for promotion of various recruitment events.
Develop ad-hoc marketing reports upon request.
Initiate new marketing opportunities as appropriate.
Data Collection, Reporting, and Analysis (15%)
Compile historical data, international/regional/national trends and SAIS enrollment forecast data to determine effective recruitment strategies.
Serve as primary point of contact for Slate user functions for mid-career and doctoral programs, including application management, and assist with troubleshooting any questions or issues across campuses.
Utilization of campus admission/enrollment reporting tools to collect and analyze admissions statistics throughout the admissions cycle.
Prepare applicant data for presentation at admissions committee meetings.
Special Knowledge, Skills, & Abilities
Professionally represent SAIS with knowledge and energy at conferences and organizations, and with external recruitment/admissions pipeline partners.
Work effectively and professionally with faculty, administrators, students, alumni, and external constituents including experienced, mid-career professionals and senior military officers.
Independently and accurately counsel prospective students to provide smooth transitions from inquiry to enrollment.
Superior interpersonal and relationship-building skills.
Active and current knowledge of applicant life-cycle data strategies and marketing recruitment best practices for admissions recruitment.
Communicate effectively with diverse and international populations verbally and in writing.
Extensive knowledge of marketing principles, best practices, and techniques relevant to student recruitment and admissions.
Proven ability to develop and implement strategies for recruitment of a diverse student population in a higher education environment, particularly in the online space utilizing social media and digital content management.
Excellent oral and written communication and presentation skills; including communication.
Ability to work independently, exercise independent and professional judgment.
Ability to work well under pressure, meet competing time frames, and prioritize work.
Knowledge of SAIS admissions requirements, processes, academic programs and services.
Knowledge of Slate admissions platform is strongly preferred.
Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint, etc.).
Ability to be flexible throughout the year and handle additional duties as assigned.
Minimum Qualifications
Bachelor's Degree.
One year of related experience.
Preferred Qualifications
Master's Degree.
Three years of relevant experience in recruitment, admissions, and diversity preferred, particularly in higher education.
Prior military experience or experience working with military applicants.
