POSITION DETAILS

The Graduate Center is the focal point for advanced teaching and research at The City University of New York (CUNY), the nation's largest urban public university. With over 35 doctoral and master???s programs of the highest caliber, the Graduate Center fosters pioneering research and scholarship in the arts and sciences and prepares students for careers in universities and the private, nonprofit, and government sectors. The Graduate Center???s commitment to research and scholarship for the public good is exemplified by its more than 30 centers, institutes, and initiatives, including its Advanced Science Research Center (ASRC), a 200,000 square-foot facility in upper Manhattan, designed to promote collaboration among scientists in five areas of global research and innovation: nanoscience, photonics, structural biology, neuroscience, and environmental sciences.

The Graduate Center (GC) benefits from highly ambitious and diverse students and alumni, who in turn teach hundreds of thousands of undergraduates every year. Through its public programs, the Graduate Center enhances New York City???s intellectual and cultural life.

The Enrollment Coordinator will provide support to the Offices of the Registar and the Office of Admissions. This position reports to the Director of Student Services and Senior Registrar.

All full-time and part-time CUNY staff are expected to work in-person at their campus office 70% of their work time. For full-time staff, this is equivalent to 7 out of 10 days of in-person work in a two-week period (e.g., 7 days in-person, 3 days remote). This hybrid work schedule is subject to change.

Duties include but are not limited to:

  • Represents the Graduate Center at outside recruitment events, providing guidance and advisement to prospective master???s and doctoral students.
  • Runs queries of extracting data of submitted applications for research and future recruitment diagnostics.
  • Provides group counseling sessions to targeted populations.
  • Supports the Admissions Redirect-Process, a process where applicants who were rejected for doctoral programs are contacted to ascertain their interest in learning about the Graduate Center master???s program opportunities.
  • Verifies that submitted applications are ready for review.
  • Assists in managing the production of transcripts, enrollment verifications, and loan deferrals.
  • Assists in processing Inter-University Doctoral Consortium applications.
  • Serves as Veterans School Certifying Officer: Responsible for submitting VA benefit school certifications to the Veterans Administration and monitoring the progress of students receiving VA benefits through the course of their academic careers at the GC.
  • Serves as Veterans Affairs Liaison: Responsible for answering queries related to school services from veterans who are applicants as well as enrolled students and manages communication to VA benefit recipients to ensure their compliance with constantly changing federal regulations.
  • Assists, in collaboration with the Office of Admissions, with movement, ownership, and meta-data management of digital student folders of applicants who have accepted the offer of admissions to the Office of the Registrar.
  • Assists with all aspects of digitizing student records including:
  • Create digital student folders including metadata from student records.
  • Responsible for project to scan documents from prior semesters such as course withdrawal forms, add/drop forms, and Inter-University Doctoral Consortium Registration (IUDC) forms.
  • Responsible for parsing individual files from the bulk scan folder.
  • Responsible for naming files extracted from the bulk scan folder consistent with agreed upon naming conventions and moving them to the proper student folder.
  • Coordinates with the dissertation librarian to synchronize the academic records and library deposit records including:
  • Date degree requirements were satisfied.
  • Date of dissertation defense.
  • Dissertation/thesis/capstone title.
  • Assists in managing the Registrar's and Admissions Offices email inboxes and responds to queries in a timely manner.
  • Assists with diploma production and distribution.
  • Assists with reception area duties.
  • Performs other duties as assigned.

QUALIFICATIONS

Bachelor's Degree required.

A preferred candidate should have:

  • Two years of relevant experience in a college or university setting, preferably in a student affairs division
  • Excellent written and verbal communication and interpersonal skills
  • Demonstrated ability to work both autonomously and collaboratively
  • Ability to manage multiple priorities and meet deadlines
  • Knowledge of PeopleSoft/CUNYfirst information system in higher education

Candidates must be legally authorized to work in the United States on a full-time basis.

  • Provides direct student services and works collaboratively with other units to support registration, payment, and related activities
  • Conducts workshops on enrollment management services and processes
  • Counsels students, staff and faculty on academic registration, admissions, testing, and related processing
  • Manages student information databases and resolves issues with student records and transactions
  • Ensures compliance with college, Federal, and New York State regulations and policies
  • Creates and updates content for web pages, bulletins, and other media to ensure effective communications to students and campus community
  • May supervise clerical and/or part-time staff and coordinate work schedules
  • Performs related duties as assigned.

COMPENSATION AND BENEFITS

$44,411-$57,517/year. Salary commensurate with education and experience.

After 365 days of employment, the employee will have the option of either remaining in the HIP HMO Preferred Plan or selecting a different health plan within 30 days before the end of the 365th day period.
