Job Overview

As one of the oldest medical schools in the country, the UC College of Medicine has a reputation for training best-in-class health care professionals and developing cutting-edge procedures and research that improves the health and clinical care of patients.

 

The College of Medicine, Office of Medical Student Admissions and Special Programs is recruiting a Director of Medical Student Admissions & Special Programs. This position will support the University's mission and commitment to excellence and diversity in our students, faculty, staff, and all our activities.

Essential Functions

  • Lead the Administrative Operations of the Office of Medical Student Admissions & Special Programs as its primary manager of application planning, processing, review, and communication; Manage operations of application development and roll-out, including testing applications and engaging in continuous quality improvement of applications on an annual basis; Oversee the application processing flow including the inputting and communication of Admissions Decisions through the UCCOM application management system (i.e., MedOneStop); Serve as the Office operational lead and institutional operational expert for MD and BS/MD interview seasons; Monitor admissions yield and assist with the extension of scholarship and alternate list offers; Participate in the delegation and monitoring of review and decision-making of the Admission Committee; Develop and manage budgets for programs; review and approve operating expenditures for the programs.
  • Create, promote, maintain, and evaluate processes and programs to recruit and retain undergraduate students and postbaccalaureate students to increase the College of Medicine's visibility and reputation; Responsible for program planning and development, program evaluation and assessment, and preparation of annual reports; Establish long-range measurable goals and objectives for the programs and initiatives listed above; Review and evaluate effectiveness of programs. Initiate, develop, and revise programs as required.
  • Lead the Connections Dual Admissions Program (DAP), a non-accelerated (four years at UC undergraduate; four years at UCCOM) baccalaureate/medical degree early assurance program; Lead programming and provide longitudinal advisement to students within the UCCOM pipeline programs in both individual (i.e., meet with each student once per semester) and group (i.e., as the advisor of the student leadership committee) formats.
  • Act as a primary manager for, and ensure professional development of, staff in the Office of Admissions & Special Programs (e.g., Directors, Program Coordinators, Student Workers); Supervise the interviewing, selection and training of support staff; delegate responsibilities and evaluate performance of support staff; Manage personnel to ensure quality of submission processes and communication to applicants within the MD, BS/MD, and other affiliated programs.

Essential Functions Continued

  • Responsible for the selection of program participants including developing admissions processes, reviewing applications, making admissions recommendations and facilitating admissions committees.
  • Manage the UCCOM Medical College Admissions Test (MCAT) review courses designed to prepare undergraduate pre-medical students to receive competitive scores on the examination.
  • Assist with the implementation and tracking of pipeline programs designed to increase the number of underrepresented students who apply, enroll, and graduate from medical programs; Track pre- and post-matriculation data of pipeline programs and MD program application pool.
  • Conduct presentations and webinars for outreach, recruitment, pipeline programs, and MD interview and retention programs; represent the Office at national meetings, recruitment fairs and events.
  • Act as delegate and liaison representing the Office to the University community, serve as representative on designated committees and attend developmental workshops and seminars.
  • Serve as the primary Office liaison for administrative and operational relationships within UCCOM.

Minimum Requirements

  • Master degree in a related educational program, student affairs administration or other related field with five (5) years of relevant experience; -OR- Bachelor degree with seven (7) years of relevant experience; -OR- Associate degree with nine (9) years of relevant experience.
  • At least three (3) years student-related administrative experience and supervisory experience.

Additional Qualifications Considered

  • Excellent oral and written communication skills, attention to detail, professional judgment, and professionalism befitting an individual working with institutional leaders and executive stakeholders.
  • Facility with data collection, analysis (and analysis programs), and presentation.
  • Demonstrated initiative and ability to multi-task and independently track and carry concurrent projects through to long-term conclusion.
  • Excellent time management abilities, including ability to prioritize duties depending on timeline/item importance.
  • Understanding of and willingness to participate in Continuous Quality Improvement (CQI) including ability to receive and integrate constructive feedback.
  • Proficient in Microsoft Office and Adobe Acrobat applications. Ability to learn other data reporting programs (e.g., Crystal Reports, MedOneStop queries) is required.
  • Ability to work occasional early mornings, evenings, and weekends is required.
  • Experience in medical student education and/or recruitment..
  • The ideal candidate will have excellent management, professional, and communication skills.

Physical Requirements/Work Environment

  • Office environment/no specific unusual physical or environmental demands.
