Overview

Reporting to the associate dean for student leadership and engagement, the assistant dean for student programming advises and supports registered student organizations, oversees ODUS funding for these organizations and facilitates the planning and implementation of student-initiated activities and events. The assistant dean advises the USG Projects Board, the Frist Campus Center Student Events Committee (PSEC), and assists in advising the Undergraduate Student Government (USG); this position helps create opportunities for students to participate in the development of programs which further community building and leadership development. Together with the associate dean for student leadership and engagement, the assistant dean conceptualizes, plans and implements major campus social and community building programs and evaluates program effectiveness, initiating changes as necessary.



Responsibilities

Student Programming and Financial Oversight

  • Responsible for all facets of Frist Campus Center generated programs and major annual events (e.g. open houses, festivals, PSEC programming, etc.) including conceptualization and development of ideas, fiscal management, planning, implementation and evaluation;
  • Responsible for the stewardship of all financial resources and transactions for the 400+ student organizations and for adherence to all University regulations. Tracks expenditures, maintains accurate financial records, and prepares and submits financial reports as requested. Funding sources for student organizations include:
    • University funds;
    • USG funds and student fee; and
    • Funds from other campus academic and administrative departments;
  • Attend weekly USG Projects Board meetings and advise the 12-member group regarding the distribution of funds to student organizations. In conjunction with the Board, oversees and distributes ODUS program funds to support student organization activity and maximize programmatic impact;
  • Chair the Alcohol Initiative Committee comprised of students and administrators and award grants for late night alcohol-free programming;
  • Ensure that University policies and rules are adhered to, and guide and assist student groups toward this end while supporting the goals of their programs;
  • Communicate with various University offices in authorizing activities and events on campus;
  • Interface with relevant university departments for event support, including Dining Services, Facilities and Grounds, Building Services, Public Safety, etc. to ensure appropriate supplies, services, and resources are available.
  • Provide for proper and appropriate on-site supervision for all large-scale programs and supervise all student program assistants and casual hourly staff hired to assist with programming.
  • Recruit, train, schedule, all student and hourly program staff who assist with the implementation of programs, events, and activities and provide feedback as appropriate.

Advising Student Groups

  • In collaboration with the ODUS program coordinator, advise the approximately 400 undergraduate student organization registered with ODUS in all aspects of planning events both on and off campus, articulate University policies and protocols as it relates to the activities of undergraduate students, advocate and/or liaise with other University offices on behalf of student organizations when required, generate ideas and initiatives to forward the mission of each organization;
  • Create opportunities for student leaders to develop and hone skills which relate to the successful implementation of events and activities, formalize opportunities for collaboration among groups, and broadly promote the work of student organizations to current and future members of the University;
  • Provide advisement and direction to PSEC. Recruit, select and provide training in the following areas: leadership, event planning, budgeting, production, publicity, and program evaluation. Develop and implement orientation, in-service training, and retreat planning. Make decisions regarding the marketing of co-sponsored programs;
  • Together with the associate dean, attend weekly meetings of the USG Senate and assist in advising USG leadership and their various standing and ad hoc subcommittees in executing their responsibilities and initiatives; assist in the administration of USG and class elections;
  • In conjunction with the associate dean, convene monthly meetings to promote collaboration among elected student leaders;
  • Serve as the lead advisor to the sophomore class with large-scale events and initiatives designed to promote a sense of community and belonging among members of the class;
  • Manage student government and class council office space in Frist;
  • Chair the Student Group Accountability Board and work with a committee of students to adjudicate student organization policy violations which can result in the suspension of student activity.
  • Advise the Undergraduate Student Government Student Group Recognition Committee.

Other Duties

  • Collaborate with the âœPrincetoniana❠group, Mudd Archives Library, and various student organizations to ensure a robust archival collection an develop and manage a program and schedule for the utilization of the Frist gallery display cases;
  • Provide administrative oversight and advisement to a sub-committee of the Commencement Committee;
  • Serve in a regular rotation as a Free Expression Facilitator;
  • Represent the department on campus-wide committees, panels, and search committees;
  • Support programs on nights and weekends, as needed.



Qualifications

Education, Experience and Skill Requirements

The position requires an advanced degree in an appropriate discipline and at least five years of relevant full-time experience, preferably working with students in a college or university setting. Experience supporting student activities/engagement, student governance, program development or venue management is strongly preferred. Candidates must also be available to work at night and on weekends as needed.
