Job Description: Reporting directly to the Associate Dean for Student Affairs (ADSA), this position plays a key role in supporting the college's needs. Under ADSA direction this position will plan, organize, integrate, and direct the work of the ECS Undergraduate Records office. The manager will also provide expert professional assistance and guidance in office data needs by creating, maintaining and documenting reports based on area needs specific to university initiatives, learning and using the University supported reporting and analytics tools, and helping develop data based assessment plans supporting the ADSA and college efforts.
This role requires collaboration with the ECS admissions, success and career advising teams as well as faculty and staff to provide outstanding service to all ECS students. Responsibilities:
Responsible for managing undergraduate student records processes and administration including degree certification, petitions, student files, registration, and articulation agreements.
Assist Senior Associate Dean with issues related to degree certification, curriculum design and updates.
Plan and update the online First Year Term Enrollment registration and resolve problems as needed.
Analyze and provide undergraduate student data as inputs for Engineering Undergraduate Surveys for various engineering organizations and societies.
Process Degree certifications (three times a year).
Process Transfer credit evaluations for incoming freshmen and transfer students.
Process Student Athlete Certifications (twice a year)
Process multiple types of petitions in a timely and accurate fashion.
Evaluate transcripts and process transfer credits as appropriate
Re-check degree audits and process as appropriate
Review and approve course catalog entries, schedule and update gateway course sections, manage opening weekend event for orientation, advising and registration.
Support the Associate Dean and probation committee in planning and reviewing students on academic probation and review letters of appeal and make recommendations.
Provide counsel on records issues to faculty and staff as well as other departments across campus.
Point of Contact for the Registrar's Office and other relevant departments on-campus and act as liaison with other colleges, represent ECS on committees.
Successfully interact and problem-solve with students and parents on curriculum, degree certification and probation matters.
Identify appropriate students (30-50 each semester) to participate in the SSUI (Student Success Initiative) Summer Program and advise those who qualify.
Advise students who are planning on IUT (Inter-University Transfer) in and out of ECS.
Serve as advisor to undeclared students and those who may be transferring out (approx. 20-30 students each year), and those in dual majors and BS/MBA program.
Present information session on topics related to advising, registration, and probation to students when required.
Develop, maintain and document reports for the College of Engineering and Computer Science undergraduate services; create dashboard for reports as applicable.
In strategic partnership with the ADSA, perform data-informed analysis of student success, retention, and career outcomes, as well as to support other initiatives requested by ECS leadership.
Create and maintain analytics dashboard that display pertinent information specific to office functionality to assist in making decisions for process improvement
Supervise one non-exempt full- time staff and a part time temp. Supervisory responsibilities include interviewing, hiring, and training; workflow (planning, assigning, and directing work), performance review; coaching, addressing complaints and resolving problems.
Ensure all operational activities are completed accurately, efficiently, and effectively.
