The Associate Director of Advising Operations oversees the maintenance and enhancement of advising operations, focusing on knowledge base systems, policies and procedures, Canvas shell courses, intranet sites, and onboarding documentation. This role serves as the advising liaison for external departments, ensuring centralized communication with Student Financial Services (SFS), Admissions, Registrar, and the Office of General Counsel (OGC). Additionally, the position involves validating data for Salesforce and Tableau reporting, balancing advisor workloads, and managing collaborations and staffing with the front desk staff.
KEY RESPONSIBILITIES & ACCOUNTABILITIES:
60% - Technical:
Oversees the maintenance and continuous improvement of Knowledge Center systems to ensure accurate and up-to-date information for advising and learner services.
Manages the updating and maintenance of CPS academic program canvas shell courses, ensuring that advising resources are current, accessible, and with the objective to democratize program knowledge.
Oversees the content and functionality of the advising department's intranet site, facilitating easy access to essential information for the student affairs unit. This site would include resources, best practices and robust onboarding documentation and process.
Validate student data used for Salesforce and Tableau reporting to ensure accuracy and reliability in reporting metrics.
40% - Operational:
Reviews and updates advising policies and procedures in alignment with Northeastern and CPS guidelines and best practices.
Serves as the advising liaison and reporting to and from external departments such as SFS, Admissions, Registrar, Academic Ops, CO-OP, and OGC, fostering effective communication and collaboration.
Oversees balancing advisor workloads to optimize capacity utilization and efficiency, considering current assignments, student types, and new advisor onboarding.
Hire and manage front desk staff, providing leadership, support, and ensuring a positive and efficient front-facing experience for students and staff.
MINIMUM QUALIFICATIONS:
Knowledge and skills required for this position are normally obtained through a Bachelor's degree in a relevant field; master's degree preferred.
Extensive experience in student advising operations, student journeys, business process mapping and management, including knowledge bases and administrative systems.
Strong understanding of Salesforce and Tableau reporting.
Proficient in using Canvas, Microsoft productivity applications (e.g., SharePoint, Excel) and other relevant advising technologies (e.g., Banner)
Demonstrated ability to manage and balance advisor workloads and calculate capacity utilization.
Experience with programmatic advising and plans of study is a plus.
Excellent interpersonal, communication, and collaboration skills.
Experience managing front desk staff.
