The Student and Campus Event Centers (SCEC) events team manages reservations for John Lewis Student Center and Stamps Commons, Exhibition Hall, the Historic Academy of Medicine, and several campus outdoor and classroom spaces for non-academic meetings and events.
The primary responsibilities for the Event Reservations Coordinator are providing exceptional customer service and event support from inquiry to post-event. This position will also assist in implementing business development strategies to increase clients and revenue. Events range from small to large scale, are both internal and external facing, and utilize multiple event spaces. Great attention to detail, exceptional customer service skills, the ability to multi-task effectively, and flexibility with scheduling to provide on-site event support is critical to the incumbent’s success in this role.
Conduct event scheduling for general campus indoor and outdoor spaces. Confer with event sponsors of outdoor and external events to determine scope and overall objectives associated with an event as needed. Ensure use is compliant with institutional policies and reserve space for events. Consult with Campus Space staff as needed for event review
Serve as chair of an Event Logistics Committee for event request review and approval; convene meetings, prepare agendas, document discussions and disseminate minutes and action items
Maintain online documentation of the processes and policies, including checklists and frequently asked questions
Provide regular updates to senior managers on upcoming events
Continuously improve the general space request review process, seeking, testing and incorporating process improvements and measuring customer satisfaction
Conduct follow-up to determine adequacy of services provided in support of event. Utilize this information to improve processes
Hire, train, and supervise a team of student employees
Responsible for identifying prospective customers and generating revenue
Bachelor’s degree required.
1-2 years of job-related experience required, or combination of degree and experience.
Working knowledge and skills in event management. Including administrative skills, organizational skills, exceptional customer service skills, and well-developed communication skills. The ability to multitask and great attention to detail are required.
This position will supervise a team of students; experience working with students, training and development is required.
Working knowledge of Microsoft Office Programs and event scheduling software (EMS or 25Live).
