Student Affairs Coordinator/Office of Student Affairs

Summary: The West Virginia School of Osteopathic Medicine (WVSOM) is seeking a Student Affairs Coordinator to support the Office of Student Affairs. This position should be familiar with WVSOM and community resources to support students throughout their medical education. The Coordinator is expected to participate, manage, and/or support assigned campus events and be empowered to make independent decisions for the department as needed. The Coordinator will perform a range of multifaceted administrative duties under the direction of the Director of Student Affairs and Associate Dean of Multicultural and Student Affairs to ensure the efficient and effective operation of the department while maintaining the integrity of student records. This position is required to work outside of regular business hours as needed. This position reports to the Director of Student Affairs with oversight by the Associate Dean of Multicultural and Student Affairs.

 

General Duties and Responsibilities

  • Under the direction of the Associate Dean and Director, this position will assist with the execution and development of office goals and objectives keeping with the mission of WVSOM.
  • Under direction of the Associate Dean and Director the Coordinator will assist and manage aspects of campus events such as Orientation, White Coat, Graduation Activities, Student Organizations, Diversity, Equity and Inclusion (DEI) events, and others as required. The Coordinator is required to attend and participate in assigned events.
  • This position, under the supervision of the Associate Dean and Director, will work with the community in establishing relationships while fostering existing relationships with student organization and their assigned nonprofits.
  • Prepare correspondence, reports, agreements, and documents as directed by the Office of Student Affairs leadership.
  • With a solid customer service background, this position will work with students and other departments to establish strong working relationships and provide guidance to students and their club organizations regarding financial, personal, and logistical needs.
  • Schedule and assist with the logistics of events and activities in coordination with the curricular schedule and update the campus, student, and Associate Dean’s calendars as needed.  
  • Maintain and provide club officers, Student Government Association (SGA) officers, and class officers with current organizational by-laws.
  • Work with highly sensitive and confidential matters daily. This position will assist students in stressful situations, and they must always maintain a professional demeanor. Maintain confidential student information, consistent with FERPA regulations.   
  • This position will assist in the daily operation of Founders Activity Center (WVSOM fitness facility):
  • Conduct a daily walkthrough and report to the Director any issues with the facility.
  • Submit maintenance and housekeeping requests as needed.
  • Schedule equipment maintenance with the appropriate vendor as needed/annually.
  • Request supplies and equipment as needed.
  • Other related duties, as assigned.

Position: This is a full-time, non-classified position; and is exempt from FLSA regulations concerning overtime; the salary is commensurate with education and experience, plus a complete state benefits package.  Not all activities of this position occur within the confines of an 8:00-4:30 schedule and shall require evening and weekend scheduling as needed. The weekly schedule for this position will be established between the supervisor and the employee and approved, given the needs of the department and the institution. 

This position has been designated as Essential; This means that when WVSOM is faced with an institutional emergency, employees in such positions may be required to remain at their work location or to report to work to protect, recover and continue operations at WVSOM.

Education and Experience

A combination of recent and relevant education and experience may also be considered for this position.

  • Bachelor’s Degree in business administration, communications, or related.  .
  • Office Management or Administrative Support Experience; 2 years
  • Considerable Customer Service Experience; 2 years
  • Computer Software Experience, including MS Office Suite and databases; 2 years
  • Higher Education Experience strongly preferred

 

Skills Required

  • Strong interpersonal skills with the ability to maintain a professional demeanor and communication.
  • Excellent written and verbal communication skills that effectively represent WVSOM and the Office of Student Affairs as this position works with the public, students, faculty, school leadership, community physicians, and staff.
  • Ability to establish and maintain cooperative and positive working relationships and present a professional appearance and attitude. This position should be a model for professionalism standards for students.
  • Ability to handle sensitive and confidential material.
  • Ability to exercise discretion and independent judgment daily with tact and diplomacy and bring matters of importance to the Director and Associate Dean.
  • Ability to work independently without oversight and make independent decisions that accurately reflect the rules and regulations of WVSOM.
  • Familiarity and/or experience working with sensitive and confidential information (i.e. Title IX, Family Educational Rights and Privacy Act (FERPA), Clery Act, etc. preferred). 
  • Aptitude to initiate new ideas to improve student engagement and experience. 
  • Ability to coordinate and prioritize different tasks, set deadlines, and complete multiple projects.
  • Demonstrated proficiency in Microsoft Office applications, including Word, PowerPoint, Outlook, and Excel with the ability to learn state and school specific systems within a short timeframe.
  • Ability to review and understand budget reports.
  • Capacity to compose clear and concise reports that may be shared with the Associate Dean and upper administration.
  • Ability to learn and apply the policies, procedures, and guidelines affecting the position and institution effectively.
  • Willingness to work irregular and flexible hours, including weekends and evenings, as needed.
