Job Summary: | The Academic Program Specialist position is responsible for providing curricular support to the Department of Computer Sciences and the Academic Program Manager. The position serves as a department curricular representative in creating term timetables, managing department enrollment services, and developing data reports. The position is part of a growing departmental student services unit which is focused on supporting students in our undergraduate, graduate, and professional degree programs. |
Responsibilities: | Contributes to the development, implementation, administration, coordination, and evaluation for one or more academic programs to ensure effectiveness in meeting departmental and student development goals and initiatives. Strives to create a welcoming, equitable, and inclusive work environment. - 25% Utilizes independent judgement regarding development, implementation, promotion, and evaluation for one or more academic programs, initiatives, or events
- 25% Identifies program, needs, contributes to the development of unit workflows, schedules logistics and secures resources for meetings, events, and interviews
- 10% Coordinates program components and evaluates program effectiveness and provides recommendations for improvement
- 25% May supervise the day to day activities of one or more academic programs and resolves issues exercising discretion to meet unit goals.
- 10% Updates and maintains students curricular and enrollment records, such as ensuring grade reporting, enrollment records reflect course information, etc.
- 5% Collaborates with faculty, advisors, and staff to assist in department academic processes, policies, requirements, restrictions, and curricular issues

Tasks: | - In consultation with faculty, staff, and Academic Program Manager, prepare timetable information using the Student Information Systems (SIS) database.
- Support the process from collecting instructors course information to preparing SIS for student enrollment.
- Review and meet curricular timelines. Act upon curricular reports and materials.
- Complete room change requests in SIS and communicate to instructors.
- Coordinate room reservations for curricular activities including midterm exams, final exams, McBurney student testing and other related events.
- Perform duties pertaining to the processing of student instructional staff appointments, including supporting spreadsheets, maintaining files, and communicating information.
- Manage course enrollment including entering student permissions into courses, managing course waitlists and adjusting enrollment functions within SIS.
- Prepare and share enrollment related communications to students, instructors, advising staff, and other departments.
- Assist in instructional resource development using web-based software.
- Assist with updating student records
- Engage in meetings and training related to curricular and enrollment services.

Qualifications: | Required Qualifications - Experience working in Microsoft Outlook, Excel, Google Suite, and web-based software. - Experience in working with large data spreadsheets and high volume data entry. - Experience in high volume customer service and direct oral and written communication - Ability to work independently and in a team setting to establish and maintain effective working relationships - Commitment to fostering a respectful, effective, collegial work environment through a lens of diversity, equity, and inclusion.
Desired Qualifications - Commitment to strong organizational skills, particularly high attention to detail. - Ability to maintain confidentiality and apply FERPA guidelines related to student records. |

Salary: | Minimum $41,244 ANNUAL (12 months) Depending on Qualifications The typical starting salary for this position is $42,000 - $58,000 depending on qualifications and experience. Employees in this position can expect to receive benefits such as generous vacation, holidays and paid time off; competitive insurances and saving accounts; and retirement benefits. |
